: * Location: Town * 5 days work week * US MNC * 1 year contract with full benefits (subject to extension or conversion) Responsibilities * Visitors & Reception Desk Management: Daily * Greet visitor(s) in a polite : Location: Town 5 days work week US MNC 1 year contract with full benefits (subject to extension or conversion) Responsibilities Visitors & Reception Desk Management: Daily Greet visitor(s) in a polite and friendly manner, show the visitor(s) to a meeting room and advise office staff of their arrival. Offer and serve refreshments to the meeting rooms for guests (guest volume approx.130 monthly) Answer incoming telephone calls in a polite and professional manner. (call volume approx. 200 monthly) Monitor Investment and Business External Meeting Scheduler arrangement Coordinate all room bookings, this includes conference rooms, spare offices and workstations Tidy up conference room after each meeting. Maintain neat and tidy reception area at all times. Manual Log for incoming and outgoing courier 'By Hand' deliveries, using the log sheet, for envelopes that require a company chop to indicate receipt. Ensure delivery has been passed to appropriate departments. Manual Log for number of guests received daily. Handling of overseas visitor arrangement for office access and desk arrangement. (approx.20-25 per monthly) Handle incoming/outgoing mails and arrange courier services, including staff personal parcels. (Incoming + outgoing mail volume approx.: 600-700 monthly) Reply to Corporate Property Services Helpdesk emails and answer internal enquiries whenever necessary Assist with lunch meeting and video conference arrangement. Review and process general office purchase and reconcile invoices for Finance settlement. Invoices processing via CFP (Approx. 40 - 50 invoices monthly) Ordering for pantry and stationery replenishment. To send Covid-19 related reports and keep records Manual Log for Meeting Room utilisation daily (Internal & External rooms) Liaise with Building Management for minor office maintenance such as air conditioning adjustment and facilities maintenance on the floor etc. Update staff seating arrangement and contact details via TRIRIGA system. Update staff phone number for BCP (Business Contingency Plan) Handle general office purchase vendor by liaising with them on agreement details Monthly updates seating plan, phone list, Vendor list and agreement dates if any To operate the operable walls (Vanda/Sentosa/Istana) to accommodate big group meeting including table and chairs arrangements: Eg: FLOW Event (IM), Wholesale Lunch & Learn Event etc. Manage all cheques to be bank in at HSBC bank and notify Finance once completed. Ordering of business cards (applicable for personnel w/o assistant) To transfer office door access to temp pass for staff who forgot their photo badge for the day (approx.: 15 cases per month) Prepare new joiner starter access photo badge, locker, desk & stationery, update in TRIRIGA etc. Ad hoc responsibilities, projects assigned by the line manager: Eg: Review of stationery vendor, review for starter kit, request for quotation etc . Requirements: A minimum of two years' relevant working experience as receptionist in a fast moving, demanding environment. Relevant working experience for a MNC firm will be an advantage. Good spoken and written English, able to communicate in Mandarin will be an advantage Excellent telephone manner and communication skills Pleasant personality, helpful, self-motivated and able to work with minimal supervision Assertive and able to deal effectively with all levels both within and outside the organisation. Able to work independently, show initiative and take full responsibility for completion of duties.
