Personnel to be deployed at the following hours:
Mondays to Thursdays: 7:00am to 4:00pm, inclusive of 1/2hr lunch break
Fridays: 7:00am to 3:30pm, inclusive of 1/2hr lunch break
Service not required on Saturdays, Sundays and gazette public holidays
The Services required are set out as follows: - Greet and attend to visitors and clients in a courteous and professional manner.
- Maintain a tidy and presentable reception area at all times. - Answer and direct incoming calls to relevant school personnel.
- Handle general telephone and in-person inquiries from parents, vendors, and the public.
- Take messages accurately and ensure timely delivery to relevant staff. - Monitor the school's generic email inbox and promptly forward messages to the appropriate departments or personnel for follow-up.
- Receive, sort, and distribute incoming mail, parcels, and documents.
- Prepare outgoing mail and liaise with courier services when necessary.
- Record all incoming and outgoing mail from MOE couriers and SingPost (normal and registered) in the mail register.
- Provide general administrative support, including photocopying, filing, scanning, and data entry.
- Assist in scheduling appointments,meetings or room bookings for school leaders and staff when needed
- Verify payment records to ensure all required signatures and supporting documents are complete and properly attached
- Assist in updating the school's organisational chart displayed outside the General Office.
- Assist in data verification as requested by school
- Assist in updating the pigeonholes in the General Office at the end of the year or upon request by the school.
- Assist in collecting forms and issuing items as requested by the school.
- Assist in the preparation and arrangement of light refreshments for guests.
- Other administrative responsibilities may be assigned by the Admin Manager and School Leaders as needed
