Job Description


The Role

The Centre for Biomedical Ethics (CBmE) was established in September 2006 in the Yong Loo Lin School of Medicine through a generous gift by the Chen Su Lan Trust. We work to develop understanding, capacity for good judgement, and sound ethical practice in the context of healthcare provision, biomedical science, and health-related policy development. CBmE is a thriving centre for learning, teaching and research relating to ethical and legal aspects of healthcare and biomedical sciences. We study issues of broad international significance with a particular interest in learning for and from Singapore and Asia and work collaboratively with academic colleagues across and beyond NUS, and with key stakeholders in the healthcare sector and biomedical science and policy communities.

We offer undergraduate, postgraduate (PG) and continuing education programmes (CET) for students and professionals. These programmes are delivered fully online, hybrid (online and in-person) and fully in-person.

This role involves managing multiple, evolving and overlapping work activities and priorities, in a collaborative working environment, so the person should be someone who is able to drive execution and outcomes with the right balance of technical proficiency and emotional intelligence.

This position is for two years, with the possibility of renewal if performance is satisfactory. The incumbent will report to the Education Director, and work closely with with CBmE\'s Head of Administration.


  • Developing and implementing administrative systems to support the effective conduct of our programmes, in line with NUS policies and best practice.
  • Drafting and updating standard operating procedures (SOPs) and guidance documents to enable effective conduct of our programmes, from admissions to graduation.
  • Acting as a first point of contact for applicant and student enquiries, and assisting students and applicants with administrative issues relating to their studies.
  • Developing expertise in and interpret complex policies and regulations and advise staff, students and Programme Directors accordingly.
  • Managing and coordinating the publicity and marketing of our programmes in various media such as print and online.
  • Developing and maintaining course websites and Virtual Learning Environment materials.
  • Anticipating any administrative / operational issues that may occur, identifying the risk and determining the next action steps
  • Managing comprehensive and updated records of our programmatic activities including partner and participant details, teacher information, and feedback reports, and organizing it in a user-friendly and effective manner for stakeholders.
  • Servicing the Programme Committee/ Preparing information on the course for presentation at the Team Leads meeting.
  • Providing written reports and occasional briefings to the Director, and provide statistical details as requested.
  • Exploring, analysing and reporting on ways to effectively make our programmes available to a wider audience.
  • Supporting in personnel matters such as contract renewals, etc.
Qualifications
  • A degree in any discipline, with at least 5 years working experience.
  • Experience in an educational setting would be an advantage
  • Highly adaptable, and thrives in a fast-moving and constantly evolving environment
  • A team player who collaborates well with others, and who responds to colleagues and stakeholders with the intention to provide an excellent service
  • A superb problem-solver with excellent analytical and critical thinking skills
  • Able to switch between being detail-oriented and more macro thinking
  • Able to effectively and sensitively manage a small team in a changing environment
  • An excellent communicator (written, verbal and presentation skills), who is sensitive to the needs of stakeholders, and can engage with all organizational levels
  • Able to deliver high quality work in tight timelines, with excellent follow-up and follow-through, including applying learning and experience for continuous improvement
  • Accountable and responsible for their own work
  • Flexible, patient and has a strong work ethic
  • Self-motivated and takes the initiative but knows the limits of own authority
  • Excellent at managing time, including ability to multi-task, organize & prioritize, in coordination with the Reporting Officer
  • Interested to learn to improve their knowledge and abilities
  • Able to work successfully and thrive professionally in an in-office or hybrid working environment (office and at home)
  • Able to work occasional weekends and/or evenings to support training programme activities.
  • Proficient in Microsoft applications, and confident using online systems
