Senior Event & Sourcing Specialist - 6-Month Contract

Singapore / Hong Kong

The Senior Event & Sourcing Specialist builds and maintains the client relationships, provides value added guidance and support whilst adhering to client procedures and standards. The successful candidate is also responsible for venue and supplier sourcing, contract and commercial negotiations as well as financial budget. Programme planning and on site event management support will also be provided to client as and when required.

The Senior Event & Sourcing Specialist will work on a variety of clients simultaneously and serves as liaison between the client and venue(s)/supplier(s) for the duration of the meeting, and beyond when required.

Your Responsibilities

Event Management

  • Provide strategic direction and support on events pipeline in APAC including (but not limited to) experience design, activation concepts
  • End to End project management of events across all formats (in-person, virtual and hybrid) from inception to execution including comms, sourcing venues/vendors, budget management etc.
  • Coordinate with other internal partners in arranging and overseeing event details such as production, creative design, security, health & safety, merchandise and travel
  • Inform and interact with all levels of management and client organizations
  • Provide regular reporting updates and aligning measurement approach
Venue Sourcing
  • Sourcing, selection, and presentation of venues and/or suppliers, taking into consideration programme requirements, budget, key success factors for the programme and legal requirements
  • To keep up to date with the client (s) processes and procedures
  • To negotiate rates and terms and conditions with the venue in order to reduce costs and support clients
  • Be able to confidentially present to colleagues and client stakeholders on subject matters
  • Efficient management of timelines/deadlines for multiple programmes, maintaining effective communication and clarity with client throughout the sourcing and/or planning process regarding all aspects of the programme
  • Negotiation and ongoing contact (including site visits) with key suppliers such as venues, caterers, restaurants and AV suppliers as needed, utilising preferred hotel and supplier agreements
We\xe2\x80\x99re looking for you if your profile matches the following
  • Diploma or Degree in the Events/Hospitality/Travel Industry
  • Minimum of 5 years\xe2\x80\x99 experience in planning meetings, incentives, conventions, conferences and/or special events
  • Minimum of 4 years\xe2\x80\x99 experience managing outside vendors, sourcing, and negotiating contract services
  • Minimum of 5 years\xe2\x80\x99 experience in client management
  • Proficient knowledge of the industry\xe2\x80\x93 local and global markets
  • Commercial Awareness
  • Proficiency in Microsoft products including SharePoint, Excel, Word, PowerPoint, and Event Technologies (i.e Cvent) preferred
  • Proficiency in database management
  • Ability to think outside of the box, with the ability to balance \xe2\x80\x9cbig picture\xe2\x80\x9d thinking with tactical execution
  • Strong time management and organizational skills to manage multiple projects and clients
  • Ability to work with and cooperate with both internal and external stakeholders at all levels
  • Ability to communicate effectively both verbally and in writing
  • Ability to work well under pressure and adapt to ever-changing scenarios
  • Capability of problem solving - Anticipating, initiating and resolving issues
  • Excellent customer service skills and attention to detail
