Job Description


[What the role is]

This is a 2-year contract position as a Senior Executive, Admin in the School of Humanities & Social Sciences.
[What you will be working on] Your responsibilities will include, but are not limited to, the following: Academic Admin

  • Liaise and work closely with internal and external stakeholders to ensure that academic processes, including exam matters, student and graduate awards, staff teaching awards, surveys on modules/ courses and student experience, and course dialogues are managed effectively and executed according to regulations and guidelines.
  • Secretariat support for Board of Examiners\xe2\x80\x99 meetings, prepare exams statistics, check and prepare Statement of Results and coordinate printing of transcript and modular certificates.
  • Coordinator for exams processes, including records management of final exam papers, scheduling of invigilation duties and arranging for re-tests, support for appeals and updates in the system.
Student Development
  • Lead in the administration of student programmes and initiatives to ensure operational efficiency and effectiveness.
  • Coordinate scholarship and top student interviews, including schedule and communications to the stakeholders.
  • Coordinate student overseas trips, including facilitating trip applications, preparing project costings and proposals, and ensuring timely procurement of services to carry out the trips successfully.
  • Work with functional stakeholders to plan and manage projects related to school club activities and events, training & learning journeys for student leaders, mentors/ club advisors.
School Admin
  • Lead project teams/ committees to plan and organize events at the school level, e.g. networking forums, parents/ guardians\xe2\x80\x99 forums, and graduation ceremonies.
  • Prepare regular and ad-hoc reports for internal and external stakeholders, analyse data and address queries relating to the reports.
  • Ensure proper records management under student development and academic admin work areas.
  • Manage and execute other administrative tasks assigned by the Management.

  • Preferably with experience in a similar job role/ education environment
  • Meticulous, strong admin skills and able to multi-task
  • Good in record keeping, inventory, and document management for traceability
  • Proficient with Excel, PowerPoint, SharePoint, and Power Automate or BI (or willing to learn)
  • Able to work independently and as a proactive & collaborative team player
  • A tenacious attitude with a growth mindset
  • Familiarity with data analytics is advantageous
  • Interest in learning new systems and embracing new office technologies and tools for higher productivity
