Job Description


:Support Service Head/Manager in the administrative and operational needs of the FSC at Toa Payoh. Key responsibilities:Data Management, System & Reporting:

  • Provide support in generating and preparation of various reports
  • Oversee record-keeping and data management for accurate reporting. This includes monitoring team progress, ensuring timely completion of tasks and align with service standards reporting requirements
  • Update information across various systems on monthly basis. Track and document changes
  • Report to Management of any significant updates, data breaches
  • Manage use of shared IT platforms for centralised document storage including organising of documents on SharePoint
  • Conduct briefings and training sessions on effective system use
  • Attend to system related queries, troubleshoot where needed. Provide IT support to address technical issues and improve functionality.
Casework Administration:
  • Identify and address anomalies in data and processes with Manager
  • Upkeep and maintain database, ensuring proper documentation and record-keeping for audit check
  • Ensure compliance with personal data protection policies and measures in daily operations
  • Process referrals received from system and email
  • Provide coordination and support for case allocation and notify caseworkers of assigned cases
  • Support tracking of data operations.
Front Office Operations & Facilities Management
  • Provide administrative support to the casework team and management
  • Manage walk-ins and calls and routing of messages to relevant parties
  • Assist with disbursing of funds and issuing of items to clients
  • Ensure reception area and office premise are clean and tidy at the start and end of the day
  • Ensure proper closure and security of office premise at end of the day,
Qualifications:Diploma or degree holder with at least 3 years of administrative experience, preferably in a social service organisationRequirements:
  • Proficient in Microsoft Office applications
  • Meticulous
  • Good verbal and written communication and interpersonal skills
  • A team player, proactive and resourceful
  • Organised and able to work independently and efficiently.
Working Hours:Mondays to Fridays, 9am to 6pm (weekly Tuesday or Thursday, 12pm to 9pm)Other Information:Thank you for your application.
