Receptionist/customer service/frontline duties including but not limited to:
Attending to clients, visitors and members of the public walking into the centre including following up on their enquiries
Handling any difficult or/and distress clients at the frontline
Attending to clients via walk-in and phone calls
Attending to case referrals and other emails in common mailbox
Creating Enquiries on SSNet
Noting and forwarding messages accordingly
Attending to requests/instructions by case workers (e.g. be the collection point for clients's documents)
Attending to donations (cash/cheque/PayNow/Donation-in-Kind)
Fulfilling clerical/admin duties including but not limited to:
Upkeeping and safekeeping of the office's overall admin matters/documents
Processing claims, quotations, and bills/invoices for payment
Updating and maintaining simple databases, facilities booking system, etc.
Processing basic financial transactions (putting up of purchase requisitions, etc.)
Maintaining filing of documents (receipts, invoices, etc.)
Updating and maintaining documents for compliance/finance purposes (for donated items, transfer of items from another centre, etc.)
Liaising with vendors for office maintenance/supplies matters
Ordering of office supplies
Maintaining inventory records
Minutes-taking
Supporting the upkeeping of the office facilities, environment, assets, other properties, and safety
Supporting a team of about 30 colleagues in admin independently
Fulfilling any ad-hoc duties assigned by supervisor or HOD
Requirements:
ITE certificate in Business Administration or relevant discipline with at least recent 8 years of full-time admin work experience, OR
O-Level with at least recent 10 years of full-time admin work experience
