Job Description


NTU Shared Services (NSS) is a centralized unit within Nanyang Technological University (NTU) that provides a wide range of administrative, operational, and support services to various departments and units within the university. Its primary goal is to streamline and optimize processes, enhance operational efficiency, and deliver high-quality services to support NTU's core mission of education and research.

The Senior Executive role handle enquiries and requests for bond obligations matters. The role involves high engagement with stakeholders including internal departments, graduate scholars, and travel agency to resolve the graduates request. The incumbent shall guide the junior staff or temporary staff to perform day to day duties for bond management and lead projects.

Key Responsibilities:

Handle enquiries and requests related to bond obligations.

Upkeep scholarship agreements and database.

Maintain data archiving and coordinate disposal of documents beyond retention period.

Draft work process documentation, to be vetted by supervisor and approved by department manager.

Annual review and propose revision of standard operation procedure (SOP) to supervisor

Lead 2-3 bond activity timelines under Bond Management process including airfare reimbursement, deferment, enforcement exercises.

Propose process improvement through streamline or automation.

Support supervisors to facilitate discussion with department manager, IT colleagues and other stakeholders to explore improvement of processes.

Contribute to requirement gathering in system enhancements.

Guide new team members in performing new portfolio under bond management scope.

Consolidate data for supervisor to prepare reports.

Ad-Hoc projects/tasks assigned by supervisor.

Support financial aid team with eligibility assessment, donor bursary interview and process improvement projects.

Requirements:

Preferably degree with at least 2 years of prior work experience, preferably in administration and customer facing environment, or in processing financial aid or bond

Proficient in Microsoft Office, especially Word and Excel

Able to read and write in both English and Chinese (Require to correspond with Chinese Scholars and use Hanyu Pinyin for information in letters writing)
