Job Description


Overview

To support the department in all research matters including grants management, IRB applications, grant submissions, projects reporting, meetings, forums etc. Incumbent will also be supporting the department in all NUHS admin matters such as HR, finance, IT, department meetings & events and general daily office matters.

Job Responsibilities

Support in grant, IRB/DSRB and other related applications.

  • Circulate grant calls to academic staff.
  • Support in preparing grant applications, propose budget, plan project timelines for submissions, track outcomes of research projects.
  • Support in IRB/DSRB applications, track progress, answer enquiries when required.
  • Draft periodic progress reports for PI\'s review before submission.
Managing research grants.
  • Support in procurement matters and processing claims related to research projects.
  • Track grants\' utilisation on a monthly basis. Generate financial reports for PIs\' review and prepare summary reports to update Head and other PIs.
  • Support in preparing, submitting, and following up on grant variations.
Organising department and research events.
  • Support research unit in identifying speakers and topics for the regular research forums and workshops.
  • Design and circulate fliers, book venues, set up virtual meeting, apply for CME points and submit attendances to SMC.
  • Provide onsite support for events held in person. If event is virtual, act as host.
  • Collate feedback and prepare evaluation reports for research unit.
  • Support in organising overseas experts\' visits by planning programme, booking flights, accommodation etc.
  • Support in organising department event.
Perform secretariat duties for department and research meetings.
  • Arrange and coordinate regular research and department meetings.
  • Collate agendas, prepare materials, record minutes and track progress of follow up items.
  • Support in department admin matters including HR, Finance, IT and general daily office operations.
Support in procurement matters and processing claims related to department matters.
  • Custodian for department IT assets, act as interface for NUHS staff with IT Department for IT issues.
  • Support in managing department website with regular updates including uploading links, articles and staff\'s profiles etc.
  • Contribute towards building and maintaining the profile of the department in social media.
  • Maintain records and manage e-filing system for research and department documents.
  • Onsite support for department undergraduate teaching activities.
Job Requirements
  • At least a bachelor\'s degree in biomedical or a related field
  • Minimum 2 years of experience in research administration in a healthcare institution is preferred
  • Excellent team player with ability to work independently and proactively.
  • Meticulous with an eye for detail.
  • Resourceful with a creative ability to make things happen.
  • Proficient with Outlook, Microsoft Word, PowerPoint and Excel
