Job Description



Broad Function
Support e-Medical Record Office (e-MRO) to ensure smooth and efficient running of operations, management of processes, departmental goal setting and strategic initiatives.

Key Responsibilities and Duties
Specific

  • Assist in the planning, mapping and evaluation of all operational activities in the management of medical records (inclusive of scanning/digitisation of records), records storage and medical records and medical reports processing
  • Assist in the writing of work instructions related to e-MRO
  • Assist in the smooth operations of the department and provision of quality services to internal and external customers
  • Ensure provision of patient records to doctors, nurses and other clinical staff where required
  • Ensure documented policies, procedures and standards in e-MRO are updated to ensure relevancy and quality for e.g. release of information, confidentiality, information security, information storage and retrieval and record retention and authentication of health record documentation
  • Assist in managing vendors effectively and efficiently
  • Perform continuous review of workflows, systems and procedures to identify areas for improvement
  • Assist in the development of training materials and provide guidance to staff to ensure that all medical records are accessed and managed under strictest confidentiality and security
  • Identify and correct service discrepancies (if any) promptly and work on process improvement by training staff to rectify service lapses
  • Recommending and reviewing system enhancements to support change in processes
General
  • Provide secretariat support to divisional/departmental meeting, committees, taskforce and workgroup meetings as required
  • Provide support in other WH-related projects and tasks
Job Requirements
  • Degree in any discipline with 2 years working experience preferred, preferably in an operations or service background
  • Experience in healthcare operations preferred
  • Possess ability to plan, organize, supervise and execute plans
  • Strong project management skills
  • Analytical and innovative thinker
  • Service-oriented with good interpersonal and communication skills
  • Good team player and ability to manage relationships (internal and external)
  • Ability to work independently and also in a team
