Job Description


:

In this role, the Administrative Assistant will be responsible for assisting in the administration and operations of museum-based learning programmes to engage school going audiences with visual art. This role involves supporting and growing educational partnerships to help increase public familiarity with the Gallery\'s identity, mission, and services, with the goal of bringing new to art and school-going audiences into the Gallery.

  • Administer processes for booking of school tours to the Gallery using booking portal
  • Liaise with internal and external stakeholders for arrangement of education facilitators for conduct of school tours
  • Assignment of education facilitators\' schedules for school tours
  • Prepare learning tools for tours and workshops
  • Liaise with vendors for Museum Based Learning Programmes
  • Coordinate all necessary briefings and trainings for museum based learning vendors and education facilitators
  • Manage onsite schools\' visits and problem solving
  • Collating survey, data entry for reporting
  • Manage and maintain virtual meeting platform accounts for virtual tours.
  • Handle ad-hoc assignments as and when required.
Qualifications:
  • Minimum Diploma holders and above.
  • At least 4 years of relevant work experience in administration, operational, education or arts-related portfolio.
  • Must possess cultural sensitivity and understanding for diverse stakeholders.
  • Keen interest in working with educators and students.
  • Have experience in coordinating schedules of multiple stakeholders.
  • Demonstrated ability to manage projects effectively and deliver quality outcomes within tight timelines and budget.
  • Demonstrated skills in managing a range of administrative processes including issuing and managing schedules, contracts, financials, and logistics.
  • A proactive team player who is people-oriented, meticulous, organised, resourceful, hands-on, and able to manage multiple projects simultaneously.
  • Possess excellent interpersonal, communication and presentation skills to a broad audience base and diverse range of stakeholders.
  • Good working knowledge of Microsoft Office Suite.
  • Good command of written and spoken English is essential.
  • Must be able to work on evenings, weekends, and public holidays when necessary.
  • An interest in the Arts will be an advantage.

It also won the awards for Best Theme Attraction at TTG Travel Awards 2017, Best Attraction Experience, Breakthrough Contribution to Tourism and Best Customer Service (Attractions) at the prestigious Singapore Tourism Awards in 2016 for its role in adding to the vibrancy of Singapore\'s tourism landscape.
