The Disney Live Events Team is dedicated to creating top quality entertainment-based character appearances and events to support key business initiatives, internal staff events as well as community outreach programs supporting the Disney, Disney-PIXAR, MARVEL and STAR WARS and 20th Century Studio brands and franchises.

The Live Events Team creates, develops and produces Disney Character appearances and events which support a variety of lines of businesses including; Disney Parks, Experiences and Products: Consumer Products, Games and Publishing, The Walt Disney Studios, Disney Media Entertainment Distribution and Disney Corporate Communications and Community Outreach across the South Asia Pacific, Middle East, North Africa, Australia and New Zealand region

The \xc2\xad\xc2\xad\xc2\xad\xc2\xadSenior Executive, Live Events will help to ensure all Live Entertainment, appearances and events are of the highest standards and maximize the guest and stakeholder experience. As part of the Disney Live Events Team you will be supporting the Head of the department.

This role is responsible for providing guidance on Character Events, and providing event management (from pre-production to execution) to internal and external stakeholders, and manage the costuming facility, talent and performers pool as outlined below.

Responsibilities:

LIVE ENTERTAINMENT EVENT AND PRODUCTION MANANGEMENT

  • Assist the department on Partnering with key stakeholders to create and elevate character brand experiences through Live Character Entertainment Event operations and Logistics including but not limited to:
  • producing and providing Live Character Entertainment creative solutions such as experiential theming, choreography, and music; for appearances on television, advertorial shoots, musicals and meet and greets
  • coordinating and liaising with key stakeholders to ensure events operations run smoothly, and character event requirements are met, and security is not compromised
  • talent management (emcee, dancer, performer etc.) for appearances or events when required
  • providing guidance and training for on ground cast and crew to deliver quality Disney experiential events
  • providing guidance and support, and step in when necessary to Front of House and Backstage event management
  • Work with the department to help create and submit appearances and events cost estimates to clients, internal lines of business (LOBs) when required
  • Assist the department to look after Live Events and Live Character appearances across the region
COSTUMES / COSTUME MANAGEMENT

Assist the Department to:
  • pull and pack character costumes for appearances and events
  • coordinate delivery and pick of costumes and laundry items prior to an after appearances and events with local delivery company
  • ensure returned laundered items are delivered in a timely manner and placed back into inventory
  • ensure amount of costumes on hand meets the need of the business. Recommend additional costume or overlay purchases when necessary
  • coordinate the deliveries of specialty costumes from Disney Parks and Resorts teams when necessary
  • manage and maintain costumes during character appearances and events when necessary
TALENT AND PERFORMER LOGISTICS
  • Assist the department to monitor and maintain our performer talent base within the region by keeping an ongoing, up to date data base of performers in the region including but not limited to:
  • Co-ordination of performer talent auditions; booking of location(s), marketing materials, sign-in process and audition management
  • Act as the communication point for all performer talent
  • Notify, identify and book performer talent for appearances or events
  • Develop travel itineraries for performer talent, local and foreign, for appearances and events
  • Assist the department to provide feedback and training to talent and performers
ADMIN AND FINANCIAL
  • Coordinating meetings and conference calls with all stakeholders internal and external
  • Provide information and estimates that inform budgets for assigned projects and/or events
  • Create Keynote and PowerPoint presentations to support events, presentations and pitch meetings
  • Effectively prepping and planning meetings, coordinating and reporting meeting outcomes and driving accountability to deliverables
  • Partner with regional accounts area to create WBS Elements for estimates and tracking purposes
  • Tracking of budget numbers, partnering with the local Finance and Accounts teams for invoicing, payments and reconciliation
  • Casual buyer responsibilities
  • Create, update and distribute production schedules and contact sheets
  • Coordinate department-wide travel logistics domestically and internationally
  • Contract facilitation
  • Invoice/Purchase Order reconciliation and coding
  • Assist with performer auditions
  • Manage print and digital assets
  • Organize, manage event photos, documents and videos
  • Make a Wish Department point of contact
  • Other duties as assigned
Requirements:
  • Have at least 5 years in the Arts and Live Entertainment Industry or related field
  • Experience in working with Costumed Characters or related field
  • Experience with Costuming and Wardrobe
  • Demonstrated strong organizational skill with attention to detail
  • Demonstrated ability to multi-task
  • Demonstrated strong verbal and written communication skills
  • Demonstrated ability to handle confidential information
  • Demonstrated computer proficiency within a Windows/Mac environment
  • Demonstrated strong problem solving and decision-making skills
  • Ability to be flexible with work schedule including; weekends, holidays and long hours
  • Demonstrated strong Guest Service skills
  • Ability to work in a structured and goal driven environment
  • Must be able to travel
  • Proven experience in Live Entertainment event production/management or related fields
  • Proficient in speaking English (ability to speak Mandarin, Bahasa Malay / Indonesian, Tagalog, Thai or Hindi is a plus)
  • Proven ability to work in multiple systems
  • Experience working with costumed characters or other character costume related fields
  • Disney Character or Coordinator training / experience
