Job Summary

If you are seeking for an opportunity to grow in the field of Service Administration, Emerson has an exciting role for you! The Service Administrator will support the Rest of South East Asia & Taiwan (SEAT) Measurement Systems Solution Lifecycle Services by providing administrative support and managing personnel and customer queries. The main duties include effective utilization of Oracle applications, preparing regular reports and organizing company records.

In This Role, Your Responsibilities Will Be:

Effective Oracle PA (Project Accounting) and Oracle GSOF (Global Sales Order Form) utilization to facilitate smooth operation execution and billing.

  • Keep tracks of all the documents to be submitted and received from customer in document control register.
  • Performs accurate and timely submission of reports (Backlog, Billing and Date Management).
  • Performs receipt of Goods in Oracle System for all parts/inventory orders.
  • Handles Trade compliance check prior to dispatch and item delivery and holds Shipment verification prior to delivery and invoice issuance.
  • Prepares shipping documents for shipping - customer POs, warranty replacement, loan equipment, Service tools re-calibration, meters calibration etc.
  • Coordinates with vendors, customers, forwarders and transporters for onwards shipments and delivery/return of goods.
  • Monitors and updates orders & delivery status for POR Sales reporting, weekly.
  • Submits Draft and Tax invoices to customers for completed service jobs
  • Prepares Financial Plan, Fair Value and performs revenue/cost recognition in Oracle PA
  • Process credits as needed, and assist accounting team on customer required documents, resolving discrepancies and issues.
  • Updates customer regarding parts delivery status and coordinate any late delivery accordingly to order fulfilment team.
  • Responsible for the timely dispatch of completed job invoices and all supporting document to general finance and customer.
Effective Oracle Field Service Cloud utilization to facilitate smooth operation execution.
  • Handles verification/update of customer account and contact.
  • Builds and updates Service Request (SR), field job creation and scheduling FSE for respective jobs.
  • Assigns FSE for an internal activity, re-assigning field job, cancel field job, build/modify on call shifts and manage resources. Update and supervise the FSE schedule.
  • Assists and facilitates FSE on the accurate usage of the Field Service Cloud.
Administrative Support
  • Make arrangement for travel documents related to the service job.
  • Manage local spare parts inventory and ensures Service tools are re-calibrated, updates record and monitors expiry.
  • Ensures FSE movement records, FSMA to Oracle PA are updated timely.
  • Responsible for monthly update of Booking report, Sales report, Backlog report, POR (President Operating Report) report, WIP report and etc.
  • Processes and orders non-customer PO parts and ensure timely delivery of parts ordered.
  • Coordinates to customers the status of parts delivery and FSE schedule.
  • Ensures track proper Sales handover of PO Booking, generates, maintains, and provides record keeping functions for all orders.
  • Assist with the logistic arrangement for education services at customer location.
  • Prepares required documents for L/C negotiation with the bank.

For This Role, You Will Need:
  • Diploma in Business, Engineering or equivalent with at least 5 years administrative experience; Oil & Gas Services experience will be an advantage.
  • Proficiency in Microsoft Word/Excel/PowerPoint; preferably with prior experience on Oracle application suites and knowledge with PowerBI Dashboard.
  • Familiar with shipping Incoterms, taxation, import/export permit, work visa and etc.
  • Strong communication and interpersonal skills; must be team oriented.
  • Keen learner, open to new changes and information and adaptability working in a fast-paced environment.
