Role summary: Demonstrates an intermediate knowledge level in assigned area and works under direction only as needed. Coordinates a broad range of operational support for assigned functional area(s) within Office Services. Provides guidance and acts as a resource to other Office Services Associates. Completes departmental projects that enrich the experience of working at Capital through innovative, efficient means, with high-quality service delivery and optimal business outcomes.
Primary responsibilities/essential functions:
  • Provides and ensures daily operational service or assistance to the site, and acts as a subject matter expert (SME) in one or more of the following areas:
o Facilities maintenance
o Health and Safety
o Physical & Electronic security
o Associate services (e.g., convenience benefits, transportation, rideshare)
o Reception
o Office Services Help Line (includes fielding questions and work order processing)
o Local Business Continuity site planning and event response
o Space planning and associated moves
o Mailroom, reprographics, and office supplies
o Food service operations
o Janitorial services
o Parking/Commuting Program
o Meeting logistics oversight which may include room set up
o CG apartment administration
o Visitor coordination and support
  • Coordinates routine maintenance and services
o Develops and maintains vendor relationships.
o Oversees budget, changes to scope, and resolution of other issues with vendors under direct responsibility
o Reviews invoices to verify the services provided for payment have been completed.
o Escalates issues/concerns to manager when necessary
o Works with SS&P and/or others with developing contractual agreements
  • Point of contact for support of associates and visitors
o Assesses urgency levels, determines business needs, and identifies what needs to be escalated and/or directed to others
o Responds to routine and more complex internal and external queries on guidelines, procedures, or operations
o Develops relationships with key internal and external contacts, to address issues in a timely manner
  • Recommends and/or initiates new procedures to adapt or improve efficiency, quality, service delivery and business outcomes
o Identifies process inefficiencies and takes initiative to develop a solution
o Analyzes customer\xe2\x80\x99s needs and proposes recommended action
o Creates best practice guidelines for new initiatives or technologies.
o Provides guidance and acts as a resource to other Office Services Associates.
  • Completes special projects
o Analyzes data and trends to identify potential problems and recommend solutions.
o Participates in projects that enhance the day-to-day operational efficiency (e.g., cost reduction efforts, procedural changes, departmental initiatives).
o Works with team and managers to set priorities and support initiatives.
  • May provide administrative support (e.g. arranging meetings, producing correspondence, completing business expense claims, managing incoming mail, keeping abreast of administrative policies, practices, and guidelines, etc.).
  • Performs additional responsibilities as assigned.

In addition to a highly competitive base salary, per plan guidelines, restrictions and vesting requirements, you also will be eligible for an individual annual performance bonus, plus Capital\xe2\x80\x99s annual profitability bonus plus a retirement plan where Capital contributes 15% of your eligible earnings.
