Soft Services Manager

Soft Services Manager duties and responsibilities include working closely with the hard services engineering manager. You will lead a team of facility executives and soft services vendors to manage the facility\xe2\x80\x99s day-to-day maintenance, functional operations of the facilities and ensure that all administrative functions, soft services issues and facility services are covered. You will strive for continuous improvement in the process.

In addition, you will help mitigate risks by taking part in emergency evacuation procedures, and handling crisis management and business continuity plans. You will also be on top of health and safety issues that may arise, and actively participate in reviewing them.

The responsibilities will include site budgets, accounting and finance, maintenance and operations, contract services, purchasing of material, equipment & supplies, occupancy services and helpdesk.

Also part of your mandate is to monitor the facilities infrastructure, vendor\xe2\x80\x99s performance and processes comply with standards. Direct report to the Site Workplace Director.

As an expert in the field, you must be flexible in taking other responsibilities aside from your core tasks. Likewise, you\xe2\x80\x99ll be working side-by-side with both engineering and facilities departments in handling our contractors. Ensuring workplace safety is also within your scope. You will actively participate in health and safety reviews and identify potential risks. You will also participate in emergency evacuation procedures as needed.

Client/Stakeholder Management
\xe2\x80\x93 Deliver excellent customer service to meet on-site client\xe2\x80\x99s expectations.
\xe2\x80\x93 Build and develop effective relationships with key stakeholders &/or client and be comfortable working across all levels.
\xe2\x80\x93 Monitor procedures to ensure client\xe2\x80\x99s expectations are conveyed and worked upon.

Procurement & Vendor Management
\xe2\x80\x93 Manage multiple vendors including hard and soft skills to deliver services on time and within budget.
\xe2\x80\x93 Manage vendor procurement processes in accordance with agreed client procurement guidelines as well as Jones Lang LaSalle procurement best practices.

Contracts Management
\xe2\x80\x93 Ensure that all contracts are professionally delivered at the right cost and in line with the Jones Lang LaSalle of Ethics.
\xe2\x80\x93 Monitor expiry of contracts and initiate re-procurement if needed.
\xe2\x80\x93 Continually assess contracts to ensure best value delivered to the client.

Finance Management
\xe2\x80\x93 Ensure that the site\xe2\x80\x99s financial operations are meeting targets and control requirements.
\xe2\x80\x93 Assist and monitor financial processes to ensure account payable procedures are always followed.

Health & Safety Management
\xe2\x80\x93 Implement and manage safety procedures to ensure the provision of a safe working environment.
\xe2\x80\x93 Ensure compliance with statutory regulations on fire, health and safety standards.

Site Operations Management
\xe2\x80\x93 Implement Industry Best Practice operations
\xe2\x80\x93 Assist and monitor to ensure all building procedures and performance measures are always maintained.
\xe2\x80\x93 Ensure all Critical Environment (CEM) requirements are met.
\xe2\x80\x93 Seek ways to reduce costs and improve operational standards
\xe2\x80\x93 24/7 emergency call support and site attendance are required.

Risk Management
\xe2\x80\x93 Assist in the implementation and management of a property risk management program.
\xe2\x80\x93 Support the implementation and monitoring of disaster recovering and business continuity plans.
\xe2\x80\x93 Follow established escalation procedures and incident reporting procedures.
\xe2\x80\x93 Adhere to Jones Lang LaSalle\xe2\x80\x99s business conduct by ensuring compliance with the firm\xe2\x80\x99s guidelines, procedures and strategies.

\xe2\x80\x93 Achieve Key Performance Indicators and Service Level Agreement targets

Requirements:

  • Minimum 5 years of relevant supervisory experience in facilities management, facilities engineering, or related field.
  • Knowledge of vendor management for specialized services.
  • Strong budget management and financial analysis skills
  • Bachelor\'s Degree, Diploma Holder in Building Services or its equivalent
  • Possess strong ability to manage Hard and Soft FM Services.
  • Excellent written and communication skills.
  • Experienced Soft Services with extensive experience in managing cleaning & landscaping works, locker, laundry, residential & event coordination, etc.
