  • Responsible for the full procedure of processes in work permit for our staff using WP/EP on line when possible.
  • Assist the Assistant HR Manager in recruitment (screening of candidates) for the Supervisory and Line staff.
  • Assist the Assistant HR Manager in liaising with CDC, WDA & MOM on the recruitment of rank & file staff.
  • Call and arrange interviews for short listed candidates. Prepare appointment letters and ensure that the recruited applicants sign them correctly and inform all new hires on information/documents to be submitted in their first day of work.
  • Ensure that all staff have been \xe2\x80\x9cscreened\xe2\x80\x9d by our Company doctor and certify fit to work.
  • Key in personal particulars and all other information into the HR software (Paymaster) and maintain an up-to-date staff record. Required to follow up every half yearly on any changes of staff particulars.
  • To ensure that the staff ID for new staff is ready within 1 week after the join date.
  • Preparation of the Employee Action Form for all new hire either on the staff join date of the next working day.
  • Creation of the new staff personal file within 1 week after the join date
  • To liaise with the Insurance Company (HSBC Insurance) and ensure that all new staff is cover under the outpatient medical within the 1 week after the join date.
  • To administer the resignation process for staff. To ensure that all acceptance letter was sent out within 3 working date after the receipt of staff\xe2\x80\x99s resignation letter. To take note that Department Head have approved the resignation before the processing of the acceptance letter.
  • Conducting exit interview with all the leaving staff.
  • To ensure that staff done all the cessation clearance as require be the company 1 week after their last day.
  • To ensure that last payment were to be made to staff within 3 weeks for local staff and at least 2 months for foreign staff.
  • To liaise with the Insurance Company and ensure that all resignees name are taken out from the outpatient medical.
  • To ensure all staff personnel file (resignee) is file accordingly to month as for easy reference in future. All resignee personnel file is to be kept for 7 years before getting the written approval from the Management to discard.
  • To follow up on the \xe2\x80\x9cchase payment\xe2\x80\x9d letter to AWOL staff.
  • AWOL letter to be sent out upon receiving the AWOL notice from the HOD/supervisor
  • First \xe2\x80\x9cchase payment\xe2\x80\x9d letter to be sent out within 2 weeks after the AWOL date.
  • Second \xe2\x80\x9creminder\xe2\x80\x9d letter to be sent out 2 days after the stated date (deadline) of the first letter, should there be no reply from staff
  • Final \xe2\x80\x9creminder\xe2\x80\x9d letter to be sent out 2 days after the stated date (deadline of the second letter, should there is no reply from staff.
  • To pass the file to Talent Manager immediately should there is no reply from staff for legal actions.
Qualifications
  • Bachelor\'s degree in Human Resources, Business Administration, or a related field.
  • Proven experience (2 years) in recruitment, preferably in the hospitality industry.
  • Familiarity with recruitment platforms such as Smart Recruiter, LinkedIn, and other job boards.
  • Strong networking and relationship-building skills.
  • Excellent communication and interpersonal abilities.
  • Detail-oriented with strong organizational and time management skills.
  • Ability to work collaboratively in a fast-paced environment.
  • Proficiency in MS Office Suite and applicant tracking systems.
  • Fluency in English
