The Role Responsibilities Purpose The purpose of this role is to provide proactive administrative support to the Head, Performance, Planning & Governance (PPG) and to the PPG team in Financial Crime S The Role Responsibilities Purpose The purpose of this role is to provide proactive administrative support to the Head, Performance, Planning & Governance (PPG) and to the PPG team in Financial Crime Surveillance Operations (FCSO), with a specific focus on supporting administrative activities associated with the effective deployment of the global people, culture and engagement agenda. Provide proactive administrative support to the Head Performance, Planning & Governance and the team which primarily includes: Management and maintenance of calendar for Head, Performance, Planning & Governance and 1-2 other Senior MT on an ongoing basis. Administrative support will include but not limited to scheduling of group and team group calls, planning of offsite meetings, engagement with all relevant stakeholders, material collation and follow up as required. Coordinating meetings/appointments which includes liaising with external vendors, logistic bookings, printing of stationery and name cards etc. Coordinating travel arrangements in a timely and accurate manner. Maintaining a strong awareness of SCB policies and ensuring strict adherence to these policies for all activities. Reviewing and submitting purchases, payments, travel & expense and medical claims via the online SCB tools with full accuracy and compliance to policy. Managing all activities relating to the on-boarding process for new hires, terminations/transfers for existing staff. Co-ordinating with technical support for all technical help i.e., laptop and iPhone, desk phone etc. Co-ordinating with property support for general office area support including seating arrangements for the team (new hires, restacks). Developing an in-depth understanding of key stakeholders and their relationships to the Head's role and all stakeholders associated with the people, culture and engagement agenda and manage those relationships with the utmost sensitivity and diplomacy. Building strong relationships with the team to collaborate effectively and develop trust. Collaborating effectively with the PAs of the key stakeholders to the Head and establish highly effective working relationships with them to effectively influence. Act as primary liaison contact point for relevant functional stakeholders ie Human Resources Team, GBS and business stakeholders etc where required to support the Head and the global people, culture and engagement agenda. Assisting on team compliance items as directed i.e., completion of P3 activities, e-learnings, travel bookings, expenses claim, etc. Proactively reviewing of and follow up as required on Committee/ Council Meetings & forums attended by Head, PPG. Ensuring all relevant deadlines are adhered to through proactive notification to the Head of PPG on key timelines (verbally and via calendar notifications). Regulatory & Business conduct. Display exemplary conduct and live by the Group's Values and Code of Conduct. Our Ideal Candidate 5+ years of experience in a similar role, supporting more than one person dealing with global or regional time zones and stakeholders at all levels Highly experienced in engaging effectively with Business stakeholders, and Clients Self-motivated, able to work independently and under pressure with demonstrated flexibility to meet deadlines Significant experience supporting senior management in a multinational corporate environment, ideally Head of a function level Organised, proactive, detail orientated and able to concurrently address multiple priorities Highly detail oriented, demonstrated accuracy and quality of work to an exceptionally high standard Able to exercise good judgment in handling various issues on a priority basis and with deep recognition of organisational factors and sensitivities and to do so under time pressure/tight deadlines Maintains strict confidentiality of all sensitive information and where in doubt, always solicits advice from Head, PPG Operates with the highest degree of integrity Excellent verbal, presentation and written communication skills Proficient in Microsoft Suite Role Specific Technical Competencies Proficient in Microsoft Office tools (Outlook, Word, PowerPoint, Excel) - Basic to Medium Skills at a minimum. Capability to manage travel and expenses effectively using an online system. Ability to read and interpretation organisational policy documentation. Knowledge of/experience with Video Conference set ups on Teams, Blue Jeans and any other applicable platforms.
