What the role is:You will be part of ServiceSG\'s dynamic Service Transformation & Planning Team that catalyses, implements and scales initiatives to achieve service delivery transformation and support our ambition to Be Globally Leading and Innovative in Service Delivery. You will be involved in exciting pilots and initiatives to improve our citizens\' experiences. You will report to the Assistant Director (Service Transformation & Planning). Primarily, you would be supporting two projects: \xe2\x80\xa2 My Legacy (www.mylegacy.gov.sg) is a meaningful government initiative that aims to educate citizens on the importance of planning ahead, and to guide them through each step of the way. \xe2\x80\xa2 Families@LifeSG is a whole-of-government initiative that aims to provide families with consolidated government resources and to guide families in performing key transactions. This workstream also looks at improving service delivery and experiences for families across various government agencies and partners. In addition, you would be supporting the Service Tranformation & Planning team in administrative functions that include, but are not limited to: \xe2\x80\xa2 Budget tracking and utilisation, \xe2\x80\xa2 Contract management incl. temporary staff contracts, software licenses. \xe2\x80\xa2 Drafting of simple approval papers \xe2\x80\xa2 Purchase, distribution and tracking of incentives to users involved in research testing.What you will be working on:[Key Responsibilities]: \xe2\x80\xa2 [Contract Management and Vendor Engagement] Manage external vendors incl. to support the coordination, engagement and contracting matters for event management services, collaterals printing, supply and distribution of engagement materials to various institutions, including inventory management, manage event refreshments, etc. \xe2\x80\xa2 [Event Management] Support the team in organising outreach events for e.g. the inter-agency Pre-Planning Campaign. \xe2\x80\xa2 [Finance & Payments] Perform simple finance tracking (expenditure and utilisation against budget), monitoring and verification of invoices. Ensure proper accounting, management and record of invoices received. \xe2\x80\xa2 [Enquiry Management] Management of email enquiries and replies that are escalated by the DHL agents, including drafting of responses. Formulate and administer SOPs and standards for enquiry management. Track insights and analytics on queries, flag out patterns, trends, and areas for improvement. Manage and update FAQs, with inputs from different agencies. \xe2\x80\xa2 [Website Management] Manage Gift of Certainty site content updates via Isomer platform and monitor booking of mobile clinics, etc. \xe2\x80\xa2 [Product Development Monitoring] Track and monitor product development roadmap against progress of development team during project sprints and flag out interventions required from business owners where necessary. \xe2\x80\xa2 [Operational Support] Coordinate and manage scheduled system downtimes for critical systems. Track monthly total system downtime and report areas for improvement, where necessary. Formulate and administer SOP for scheduled and unscheduled downtime. \xe2\x80\xa2 [Operational Support] Other operational and logistical support matters for the Service Transformation & Planning team as assigned including, secretariat support for meetings e.g. coordination and planning of meetings, translation of key content into the vernacular languages, support in Knowledge Management matters, e.g. proper filing of important records, etc.What we are looking for:[Competencies Required]: \xe2\x80\xa2 Proactive and able to work independently with minimal supervision \xe2\x80\xa2 Meticulous, service-oriented and detail-oriented \xe2\x80\xa2 Excellent written and verbal communication, presentation/facilitation and stakeholders\' management. \xe2\x80\xa2 Good project management and time-management skills. \xe2\x80\xa2 Good interpersonal skills in maintaining effective customer and working relationships \xe2\x80\xa2 Ability to work well within team and across team(s), and project stakeholders. \xe2\x80\xa2 Ability to adapt flexibly to different operating situations and work under pressure of tight timelines \xe2\x80\xa2 Proficient in using Microsoft word, Powerpoint and ExcelAbout Public Service Division:[About PSD] The Public Service Division (PSD) aims to build a first-class Public Service for a successful and vibrant Singapore.
