Roles & Responsibilities THE ROLE OF VIVE CONCIERGE:
Provide customer service at the highest standard:

• Meet and greet all clients. Avoid screens, make eye contact, chat and smile.
• Assign beds to class pass or waitlist clients.
• Identify birthdays and milestones via client profiles on Hapana.
• Notify clients of current promotions that are happening.
• For late arrivals, offer to assist in settling them in. They’re usually flustered. Sign them in, give them their bed number, escort them into the studio, set the springs up for them and help them with the props.

• Identify new clients (green lightning bolt icon), and make trainers aware of them.
• Give clients an introduction to the studio, showing them where everything is, assisting them in using their lockers and talking them through the reformer machine.
• Find out a little bit about them - ask them about recent injuries or anything the studio needs to be aware of etc, pass this information onto the trainers and key into Hapana under client’s profile.

• Assist the trainer in keeping the studio tidy between classes - ensure that the beds are set up correctly, that forgotten items such as water bottles are placed at lost property, wipes are stocked.
• Restocking bathroom supplies - toilet paper, bathroom spray, deodorant etc and emailing Studio Manager if anything is running noticeably low.
• Reformer maintenance to be carried out on a daily, weekly and monthly basis.

• Participate in training sessions to learn the functions of the software.
• Follow all site specific processes on Hapana when on shift.

• Star emails that you are unsure of and leave them unread
• Check all Whatsapp messages and action
