Job Description

Job ScopeDuties (not limited to the following) include: . Provide administrative support and attend meetings that are necessary for the smooth running of the Home: . Maintain and upkeep documents (SOP file; Incident File; Fire Drill File; Visitor Log; Monthly Musters; Quarterly Report; Induction Log; Staff File; Team Meeting File; Sub-committee File and any other files which may be called for by the Reporting Officer). . Prepare and upkeep minutes for relevant meetings in the Home. . Assist Head of Home and Assistant Head of Home to prepare monthly staff duty roster to ensure smooth running of 24 hour operations. . Prepare monthly statistics and any reports necessary in the running of the Home. . Prepare and manage petty cash and reimbursements (inclusive of residents pocket money allowance and vendors invoices). . Receive and follow-up with documentations for monetary and in-kind donations. . Prepare monthly over-time and movement report of care workers for the purpose of payroll. . Provide administrative support for the support staff (cook and cleaner). . Ensure all security systems are properly maintained and working in good condition. . Liaise with Finance and HR in ensuring timely administration support and documentation. . Represent Halal certified kitchen as 'Halal Team Leader' and to maintain records and requirements to adhere to fidelity for certification. . Liaise with vendors / contractors / service providers / authorities to address Home's physical maintenance needs, and maintain record. . Represent the Home in all volunteer management matters and admin follow up. . Responsible for ensuring the overall cleanliness of the compound and ensuring that facilities are in compliance with government regulations, environmental, health and security standards.Job Requirements Polytechnic diploma or degree holder in Estate Management, Building Engineering, or relevant disciplines. Relevant experience in facilities management would be preferred Possesses drive, initiative and problem-solving skills. Familiarity with Microsoft Office applications. Ability to develop effective working relationships with internal and external stakeholders to deliver results through collaboration, partnerships and services. Able to multi-task and work both as a part of the team and independently with minimal supervision. Resourceful, innovative and able to adapt in a changing environment. Good communication skills and report-writing skills.
