We entrust you with the following responsibilities:

The Associate Director, Operations is responsible for the smooth operation of trust administration. Your primary responsibility is to streamline the operational aspects of trust administration, emphasizing process improvement, staff training, and ensuring compliance with regulations as well as meticulously managing and administering trust accounts, which allows the company to fulfil its fiduciary obligations and provide unparalleled service to our clients.

1) Administration:

  • Oversee the daily operations of the trust administration department, ensuring that all tasks are completed accurately and on time.
  • Assist with supervision of the trust administrators, providing coaching, support and guidance.
  • Ensure all trust records are entered and updated in Viewpoint in a systematic and periodic manner, maintaining accurate and up-to-date trust administration activities in Viewpoint.
  • Prepare regular reports for senior management on the performance of the trust administration team, including KPIs, operational metrics, and highlight areas of strength and weakness.
  • Coordinate and manage special projects related to trust administration as assigned by senior management.
  • Stay up-to-date on industry trends and regulations related to trust administration.
  • Support the Relationship Managers for the servicing of clients.

2) Compliance :
  • Responsible for conducting periodic reviews of trust accounts to ensure compliance with legal and regulatory requirements, as well as internal policies and procedures.
  • Identify any compliance issues or discrepancies and work with the relevant parties to address them in a timely and effective manner.
  • Collaborate with the compliance team to address any outstanding Know Your Customer (KYC) requirements for all clients.

3) Working with other departments:
  • Collaborate with other departments to improve and implement new processes to improve the efficiency and effectiveness of the trust administration operations
  • Collaborate with the client servicing team to facilitate the annual review process.
  • Follow up with the finance department regarding outstanding accounts receivables and to ensure timely collection.

4) HR \xe2\x80\x93 Training and KPIs:
  • Define key performance indicators (KPIs) and monitor the performance of the trust administrators against the defined KPIs on an ongoing basis.
  • Identify training and development needs for trust administrators to enhance their skills and knowledge.
  • Develop and implement effective training programs that address the skills and knowledge required for effective trust administration.
