Your Key Responsibilities

The incumbent is expected to handle the below tasks in a fluid and effective manner, while ensur-ing key deliverables are kept and prioritised accordingly.

Executive & Administrative Support

  • Handles requests from Executive in a quick and responsive manner
  • Management of Executive\'s inbox and handling correspondence on their behalf as needed
  • Organising and maintaining Executive\'s calendar in Outlook and making appointments
  • Screening of incoming calls, and answering on their behalf should the Executive not be available
  • Comprehensive travel arrangements, such as accommodation/flights/visas/car rental via our des-ignated Travel Management platform Concur and/or with our Travel Agency BCD, adhering to guidelines and policies
  • Process reimbursements for both local and travel expenses via our designated platform Concur, adhering to guidelines and policies
  • Preparation of presentations/reports/dashboards, as part of Executive\'s regular internal delivera-bles, and/or other internal & external commitments
  • Personnel budget tracking and review, in accordance to global corporate requirements
  • Optimisation and improvement of administrative processes and daily work
Meeting & Event Organisation
  • Plans, conceptualises, and executes regular physical/hybrid/virtual events hosted by the Executive (AsiaPacific Global Production Forum, team workshops, townhalls etc.)
  • Prepares agenda, communication, event logistics and ensure documentation
  • Participates and moderates regular team meeting cadences for the Executive (Pulse Check, Func-tion Reviews etc.)
  • Simple guest management and hospitality when hosting visitors of the Executive in the office
Vocal Point / Communication business arm of COO AP
  • Distributes information, coordinates tasks and action items on behalf of the Executive to the team
  • Values building a holistic team and being the communication bridge between the Executive and the team
  • Serves as key contact person to several "business partnering" initiatives from support functions (eg. local HR, Communications & Branding AP)
Mentoring/Coaching Activities
  • Support new hire/transfers onboarding and general guidance on policies and processes
  • Supervises interns based in Singapore, serving as project and workplace mentor
  • Continues fostering and expanding the internal Executive Assistant network in Singapore founded in 2021
Your Qualifications
  • Degree in Engineering or Business, preferably with 1 to 2 years\' relevant experience
  • Fluent in English, and possesses excellent writing and communication skills
  • Proficient in Microsoft Office and its relevant applications (Powerpoint, Word, Excel, Teams, Outlook PowerBI and Power Automate would be advantageous)
  • Basic understanding of P&L statements and financial figures
  • Ability to manage different stakeholders on different hierarchical levels
  • Shows high degree of selfinitiative, resourcefulness, flexibility and independent working style
  • Well organised and ability to prioritise various topics
  • Willingness to change and to drive change
  • Ability and willingness to look beyond and identify and incorporate interrelationships and devel-op alternative solutions
  • Ability to treat information with the highest degree of confidentiality
  • Adopts to a dynamic working environment with a keen sense of cultural sensitivity & inclusion
