Confidential Assistant / Office Admin / Payroll System Update / Meeting Arrangement / Changi

Working days : 5 day 8.15pm - 5pm

Working location : 15 Airline Road - Changi

Salary : $3800-$4500

DETAILED DUTIES
A) GENERAL/ADMIN
1. Provide administrative and secretarial support to the Manager and staff.
2. Updates the Company\'s Organisation Chart.
3. Updates Company\'s Policies and Manuals.
4. Maintains s for all staff.
5. Coordinate with the shareholders and Company secreteriate, with regards to any changes in Directorships, AGM etc.

B) MEETING
1. Arrange meeting room for BOD meeting and keep record of minutes.
2. Prepare annual AGM documents and liaise with Company Secreteriate for lodgement.
3. Arrange for yearly AWI negotiation and Performance Bonus meeting with the Union and keep record of minutes of the meeting.
4. Prepare for CA negotiations every 3 years with the Union.

C) HR FUNCTIONS

1. Maintain employees Personal File record up-to-date.
2. Maintain proper and Up-to-date Payroll System.
3. Process monthly payroll inclusive of checking of overtime, shift, transport, meal and mealbreak allowances for full time, contract staff and part-timers for payment.
4. Computation of Year End Performance Bonus & AWS.
5. Email contract staff monthly payment to Labour Service Provider for payroll. Monthly verification of Labour Service Provider monthly payroll payment, report and Tax Invoices.
6. Prepare Performance Appraisal for Contract and Bargainable staff in every May and Oct.
7. Payment for annual SI, PB, and AWS and issuances of letters.
8. Process Year End IR8A and submission to Income Tax.
9. Hiring & Termination of staff - Issue of Letter of Employment, Letter of Confirmation and Letter of Termination.
10. Compensation - maintain and review all insurance policies annually. Namely, Public Liability Insurance, GH&S, Group Outpatient Insurance, Personal Accident Insurance, Group Term Life, Work Injury Compensation and Tarbox Insurance. Update Shareholders on Insurane renewal queries.
11. Submit and check claims for all staff insurance claims and reimbursement including Labour Service Provider staff.
12. Payment of Employee Benefits inclusive of Long Service Award, Healthy Lifestyle and Retirement Benefits. Send fruits basket to staff on hospitalisation leave and wreath for compensation leave if any.
13. Employee Welfare. Organised Family Day, annual Dinner and Annual Health Screening for all staff. -
