Job Overview The Court Resource Coordinator will be responsible for the admin and co-ordination of the APAC diary ensuring resource of Court Reporting Teams (Stenographer & Editors) and hearing services (Virtual Hearing Managers and Electronic Presentation of Evidence Operators). This role involves close liaison with the global Reporter Management team in the UK and the Operations and Business development team in Singapore, in addition to working alongside freelance contractors highly skilled stenographers and editors and other hearing services resources as required. Ensuring that teams are allocated to suitable jobs and keeping all resource updated on schedules as bookings change. The ability to work independently and use initiative are desirable. The business is fast-paced and requires someone highly organized, with excellent communication and administration skills, and the ability to learn the workings of a niche industry in a short time. Fluent English is essential. Chinese language skills and a legal background are useful but not essential. This role reports to the Operations and International Case Manager and the Head of APAC. Maintaining an accurate diary, making any admin changes in a timely manner and ensuring the diary is a true reflection of confirmed work and enquiries To support the wider team with diary scheduling when required according to their skill and ensure that all resources are aware of fees to be claimed and equipment required for local jobs. To take responsibility for assigning docs in support to existing cases when required To respond promptly to all existing resources enquiries and liaising with the Operations Manager and International Court Reporter manager regarding resource needs. To confirm resources and ensure they have all the details prior to the start of the job. To oversee the preparation and circulation of weekly schedule To be point of contact for out of hours queries, responding to all diary queries and rescheduling diary when necessary To oversee remote jobs: confirmation, flights, accommodation, visa and pay and ensure details are available to all resources To assist in new initiatives and procedures to improve the department To keep up with technologies to ensure that the resources are familiar with new developments To check and assign fees for the payroll and reporter queries when required Produce a Summary of Private Diary Work mid-week to update all departments about the expected booking levels for the following week To support the Operations team with general office admin such as vendor correspondence and bill payments. Person Specification Fluent English Good attention to detail Able to prioritize workload Ability to work without supervision Able to work under strict deadlines and maintain a high standard of accuracy at all times.
