Designation: Customer Service & Logistics Executive Role Type : Contract (1-Year with Potential for Conversion to Permanent Role) Reporting To: Customer Service Manager Office Location: Singapore, Central-West

Overview : The ideal candidate for this Customer Service & Logistics Executive role will be an energetic individual who is goal-oriented with a high sense of responsibility to ensure that products are delivered timely to customers accordingly to requirements.

This role is responsible for resolving customer issues relating to orders and delivery via close collaboration with customers, internal sales and operations staff, 3rd party logistics (3PL) providers and freight forwarders. He/She will also work closely with country supply chain, demand planning and warehouse operations teams to ensure timely order fulfilment.

Lastly, the Customer Service & Logistics Executive will also play a pivotal role in ensuring Standard Operating Procedures (SOPs) and compliance are adhered to with the critical objective of achieving Customer Satisfaction.

Key Responsibilities :

1) Operations

  • Manage customer orders, product samples, point-of-sales materials (POSMs) and other relevant orders
  • Manage order-to-cash (OTC) process including purchasing and logistics functions
  • Responsible for back-order management
  • Provide timely feedback to customers’ inquiry, disputes, and complaints
  • Arrange and manage container bookings with freight forwarders, prepare and submit necessary shipping documents to customers in a timely manner
  • Source/review and negotiate for better freight charges and services where necessary
  • Ensure accuracy of external documentation from vendors
  • Partner Suppliers/Vendors to fulfil customers’ order requirements

2) Data Entry into Systems
  • Enter order information into SAP system for Sales & Distribution (SD) as well as Materials Management (MM) as part of order processing including checking stock levels, product pricing and report generation.
3) Control & Governance
  • Support Finance team for sales verification and reconciliation activities
  • Partner the Customer Service (CS) Manager for month-end closing activities to ensure timelines for closing are met
  • Other ad-hoc duties assigned by the Customer Service Manager

Requirements :
  • At least 5 years of working experience in Customer Service & Logistics or Order Management & Logistics
  • Minimum 2 years of experience in Import & Export Logistics
  • Diploma in Supply Chain & Logistics, Business Management or Accounting
  • Strong analytical and problem-solving skills
  • Self-starter and able to work independently as well as in teams. Ability to deliver work tasks on time and strong follow through
  • Strong interpersonal communication skills and ability to build relationships with internal & external stakeholders.
  • Experience working with SAP R3, SAP ECC6 is an advantage
  • Working knowledge of MS Office Suite (Excel and Word). Familiarity with MS Powerpoint is a bonus.
  • Understanding of international shipping documentation including Certificate of Origin (CoO), Sea Waybill (SWB), Port of Loading (PoL), Intercoterms etc.
  • Proficiency in English and other Asian language(s) is an advantage
