Role: Executive Assistant

Executive Support :
  • Supporting Unimas Director with his Daily tasks, Meetings, Travels, Presentations and Project monitoring
  • Provide full spectrum of secretarial support to Director
  • Conduct market research and organizational activities on behalf of Director
  • Assist in HR related matters
  • In charge of all private and confidential materials of the organization and Director
  • Schedule internal/external conference meetings and company events
  • Manage virtual platforms and social media account
  • Attend to personal matters for Director and family
  • Perform any other ad-hoc tasks assigned
  • Supporting Business Development activities and new lead generation
  • Maintaining Social Media profiles for Unimas
  • Ad hoc-research on Topics specified by Director and preparing presentations
  • Preparing Bid submissions, costing and proposals deck
  • Preparing concept presentations, and white papers.
  • Managing Client Communications and Tracking BD sales pipeline
Office Administration :
  • Managing Records, Custody of Assets – like Laptops, Access cards
  • Office Management including managing seating arrangements, stationery and office facilities
  • Office Attendance monitoring, Leave records, HR and Travel Policy administration
  • Managing daily expense accounting, filing of receipts, month-end expense summary, and travel expense claims
  • Filing and Maintenance of Records and Documents
  • Coordinating travel arrangements, tickets, and accommodation bookings
  • Job description updates, Job Postings, Interview coordination, Onboarding of new joiners.
  • Coordination with Universities for Interns and Candidates
Project Delivery
  • Delivering Project assignments as and when involved in client projects.
  • Attending meetings, maintenance of minutes-of-meeting, preparation of Project Update presentations
