Job Description


On behalf of one of its clients in the wine industry, The French Chamber of Commerce is looking for an Executive Assistant.

The Executive Assistant is responsible for managing the schedule and providing administrative support to the Vice-Chairman of the company.

She/He will work closely with the CEO\xe2\x80\x99s Assistant based in Singapore and act as a backup when necessary.

She/He will report directly to the Vice-Chairman.

MAIN DUTIES: Support to Vice Chairman

  • Ensure reception of calls and visitors of the Singapore Office;
  • Co-ordinate and manage the Vice-Chairman\xe2\x80\x99s meetings schedule;
  • Co-ordinate and manage travel (hotel, flight and ground transport) and restaurant bookings for the Vice-Chairman, his staff and his visitors in SG including visa applications if necessary;
  • Collate invoices and receipts and prepare staff expense claims;
  • Assist the Vice-Chairman on any administrative matter including meeting minutes, documents preparation, printing etc\xe2\x80\xa6
OTHER DUTIES AS REQUIRED:
  • Help with the events coordination and logistics for members in Singapore, together with Events teams in Asia and France (printing of documents/pictures, helping on the night of events, etc.);
  • Support with the organization of Team building gatherings and events;
  • Support with the daily office Management tasks including dealing with the different suppliers of the Company (IT, DHL, courier company, Nespresso, phone subscriptions, Ricoh, etc.), purchasing stationary, cleaning products etc. as well as running errands and attending any administrative matters.
  • Liaison with third-party service providers such as accountants, lawyers, IT consultants, cleaning services, logistics and transportation companies.
Requirements
  • Bachelors degree or equivalent
  • High level of proactivity
  • Flexibility to adjust to multiple demands, shifting priorities, ambiguity, and rapid change
  • Fluency in English, Knowledge of French is a plus to liaise with stakeholders
  • Excellent interpersonal and communication skills, both oral and written
  • Team player, Ability to work with all levels of colleagues
  • Strong (internal) client-focus with a passion for delivering added value
  • Drive and accountability for results
  • Comfort with data analytics and interpretation.
