Become an indispensable member of our team as an Executive Assistant, stationed at our dynamic Singapore Office. In this pivotal role, you will provide unwavering professional support, ensuring our Head of International Executive can devote their attention to crucial priorities and deliver unparalleled value to our valued customers. With your exceptional talent in orchestrating the Executive\'s schedule to align with strategic objectives and your role as a passionate brand ambassador, you will play a key part in Telstra\'s triumphs.

Here\'s how you can bring your role to life:

Provide consistent and confidential executive support to your assigned Executive, including managing their diaries, attending meetings, and completing related tasks and dictation.

Collaborate with the Executive\'s broader teams and external stakeholders to assist with event management, travel arrangements, and accommodation, ensuring compliance with Telstra\'s policies and procedures.

Support your assigned Executive in processing expense claims and leave requests in a timely manner, following Telstra\'s policies and procedures.

Demonstrate sound judgment in handling inbound calls, emails, and other correspondence, promptly reviewing, taking action, and organizing them professionally.

Engage in continuous improvement initiatives, such as streamlining processes, utilizing the best available technology, and enhancing efficiency in your role.

Work collaboratively with the Executive\'s team to solve problems, redirect urgent issues and complaints to the appropriate individuals, and keep stakeholders informed.

Take responsibility for maintaining accurate and organized files and documents for easy retrieval of essential information.

Utilize interpersonal skills and office administration knowledge to guide and collaborate with your Business Unit members in delivering ad-hoc tasks in line with Agile and the Telstra Ways of Working.

Explore alternative solutions when problem-solving to gain support from all parties and maximize benefits for the organization.

Who we are looking for: an experienced Executive Assistant who possesses the following skills:

Confidence in decision making.

Excellent stakeholder management skills

Proficiency in office administration tasks

Demonstrated integrity and discretion in handling sensitive information.

Strong time management and prioritization abilities

Outstanding interpersonal skills to foster effective communication and cultivate strong relationships, particularly within the internal EA network.

Skilled in problem-solving to overcome challenges and find solutions.

Possesses leadership qualities to take initiative and provide guidance when needed.

Clear and effective communication skills, both written and verbal

Experience in project management and/or coordination

Ability to work autonomously while also thriving in a team environment.

In addition to the above, an Executive Assistant should have expertise in:

Arranging travel and accommodations for the Executive, including visa processing when required.

Being available on call to provide support to the Executive they are assisting, as needed.

These skills and competencies are vital in delivering exceptional support and ensuring smooth operations for the Executive, contributing to the overall success of the role.

This role offers an exciting hybrid experience, combining both remote and on-site work, with the primary location based in Singapore.
