In order to support our team and strengthen the growth of our business, we are looking for an Executive Assistant.

We will count on you to:

Manage calendar arrangements, coordinate travel and accommodations, prepare documents and correspondence, organize and coordinate internal and external meetings/events and related logistic arrangements, communicate with clients and internal staff as appropriate, etc.

Work with cross-functional teams to support internal/client events as required.

Remain compliant with internal standards and policies when dealing with sensitive information by maintaining confidentiality at all times.

Assist team with a variety of general administrative tasks as assigned; provide coverage for EAs who are out of the office to ensure seamless support to all senior level employees.

Prepare responses to routine inquiries.

Understand the business goals and objectives of each supported senior level employee and helps to push them forward.

Handle on-boarding and off-boarding of employees.

Maintain and update Mercerforce and sales pipelines for the team.

What you need to have:

At least 7 years of relevant experience as an Executive Assistant / Administrative Assistant.

Pleasant, approachable, flexible, hardworking, organized, and committed to quality output.

Team player who can work well with multiple senior stakeholders and build rapport in a fast-paced environment.

Prior experience in supporting C-suite level stakeholders in multinational organizations would be a plus.

Excellent verbal and written communication skills.

Highly responsive to timely matters, professional and proactive.

Keen attention to detail, good time management skills with ability to prioritize and organize work.

Able to work under pressure to meet tight timelines.

Prior experience in coordinating events/meetings/initiatives within financial budgets with project management expertise.

Ability to think through issues and identify solutions.

Proficiency with Microsoft Office (Word, Excel and PowerPoint).
