Description We are looking for a Executive Assistant who will work and grow within ASPAC Industry Business and will report to Vice President, Industrial Microbiology \xe2\x80\x93 ASPAC directly. The position will not only handle a wide range of administrative and executive support related tasks, but also cooperate/communicate with whole team, working in a matrix organization with diverse people. Program/project experiences will also give the employee diverse development opportunity in future. The role should work independently with little supervision and the incumbent should be well organized, flexible and enjoy some administrative challenges. What will be your responsibilities within bioM\xc3\xa9rieux ? \xe2\x80\xa2 Responsible for managing the ASPAC Corporate VP\xe2\x80\x99s calendar and travel management, including but not limited to Visa applications, processing of expense reports, and maintaining organised record keeping with strict confidentiality \xe2\x80\xa2 Data crunching for report indicators and analyses, if needed. Assist with the creation of documents and presentation slides to support team planning, execution and overall efficiency \xe2\x80\xa2 Coordinating, facilitating and participate in internal team meetings, offsite meetings/events, including but not limited to tracking of actions and outcomes where appropriate. In addition, when required, you will also provide assistance in areas of equipment orders, initiating purchase requests, ordering office supplies, event planning, timely processing and follow-up of outstanding invoices and maintaining filing system \xe2\x80\xa2 Help manage the department budgets and travel budgets, preventing overexpenditure and ensuring funds accounted for in line with company policies & procedures \xe2\x80\xa2 Ensure timely processing of Expense claims, requisitions are being raised on time to prevent financial pre-commits, and ensuring vendors are paid on time. \xe2\x80\xa2 All other ad-hoc matters as assigned by the manager from time to time. Who are you? Job Requirements \xe2\x80\xa2 4-6 years\xe2\x80\x99 experience supporting at the executive level in MNCs is highly preferred \xe2\x80\xa2 Relevant tertiary education or industry qualifications \xe2\x80\xa2 Strong organisational skills, with good verbal and written communication skills in English. (fluency in other local Asia Pacific languages & French are an advantage to interact with key regional stakeholders) \xe2\x80\xa2 Ability to multitask and work within deadlines \xe2\x80\xa2 Ability to work independently with a high level of service orientation, with experience in the management and implementation of multiple projects \xe2\x80\xa2 Strong MS Office skills including Powerpoint, Outlook, Excel and WordThe ability to interact with staff at all levels in a fast paced environment, while remaining dynamic, proactive and resourceful, with a high level of professionalism and confidentiality is crucial to this role
