Job Title - Executive Assistant, Investment Banking

Description
ENVIRONMENT AND RELATIONSHIPS
To provide secretarial and administrative support to IBD bankers.
Under limited supervision, performs secretarial support to a team of bankers. Duties are both semi-complex and confidential in nature requiring the use of discretion. Individuals regularly follow and apply established company departmental policies, procedures and standards in making day-to-day decisions.

KEY ACCOUNTABILITIES

  • Planning and arranging extensive overseas travel arrangements \xe2\x80\x93 e.g. visas, flights & accommodation
  • Be responsible for diary management, travel arrangements and scheduling meetings
  • Preparing travel and entertainment expense reports and provide deal expense breakdown reports
  • Telephone cover, lunch cover and assisting in for other support staff
  • Secretarial coverage during other secretaries\xe2\x80\x99 absence
  • Providing support for office related admin
  • Co-ordinate team activities and events
  • Create and maintain files of manager\xe2\x80\x99s correspondence, records, etc.
May handle confidential company and employee information

Qualifications

BUSINESS KNOWLEDGE
  • Good knowledge of the finance industry sector
REQUIREMENTS
  • Well organized, mature, independent, and able to work under pressure in a fast moving environment
  • Professional and service oriented;
  • Enthusiastic team player;
  • Flexible and willing to handle last minute changes and issues as they arise
  • Strong work ethic and strong sense of urgency

LANGUAGE
  • Highly proficient in English
EXPERIENCE
  • Minimum 5 years administrative experience in Investment Banking
