Job Description


Position Title: Executive Assistant to the Office of the CEOPosition Overview:As the Executive Assistant to the Office of the CEO, you will handle highly sensitive and confidential personnel and institutional information, exercising discretion and a strong sense of business acumen. You will act as a key liaison with the Executive Committee (EXCO) and other global stakeholders to manage priorities and facilitate outcomes effectively.Key Responsibilities:

  • Confidential Information Management: Handle sensitive and confidential information with utmost discretion and a strong understanding of business priorities.
  • Stakeholder Liaison: Serve as a liaison with the Executive Committee (EXCO) and global stakeholders to manage priorities and facilitate desired outcomes.
  • Meeting Coordination: Arrange and coordinate meetings across global time zones, prepare agendas, compile briefing materials, and track follow-up actions. Manage logistics for both virtual and in-person meetings.
  • Event Coordination: Coordinate key events where the CEO chairs or participates, ensuring seamless execution.
  • High-Profile Visits: Manage agendas for high-profile visitors, such as Ministers and Independent Non-Executive Directors. Handle scheduling, briefing preparation, logistics, and follow-up on action items.
  • Communication Management: Screen and prioritize CEO emails and correspondence to ensure timely and appropriate responses and follow-up actions.
  • Engagement Preparation: Ensure the CEO is prepared for internal and external engagements, including meetings with customers, regulators, key community contacts, staff, and Group leadership.
  • Communication and Reporting: Communicate visit outcomes appropriately through newsletters and other media.
  • Task and Initiative Management: Follow up on tasks and execute actions promptly. Manage initiatives assigned by the CEO.
  • Time and Activity Management: Review and prioritize CEO Office activities daily to allocate time for deliverables and stakeholder management effectively.
  • Travel Arrangements: Manage domestic and international travel arrangements for the CEO.
  • Office Management: Ensure the CEO\'s office space is functional and appropriately represents the organization for visitors.
  • Approval Management: Vet approval requests routed to the CEO, ensuring alignment with company policies.
  • Personal Assistance: Assist with personal errands or tasks as required.
Ideal Candidate Profile:
  • Experience: Over 5 years of experience in business planning, coordination, and global executive support within an international environment.
  • Time Management: Exemplary time management skills, adept at handling complex calendars and intensive travel while providing effective solutions.
  • Communication and Engagement: Ability to engage with senior executives, build collaborative partnerships, and exercise sound judgment and proactiveness.
  • Technical Skills: Strong communication and writing skills, with proficiency in SharePoint, Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel), and teleconference software.
  • Team Player: A team player who promotes company values and culture, and builds relationships globally across the firm.
  • Adaptability: Thrives in a dynamic, fast-paced environment and adapts well to change.
