With ambitious growth plans we are always looking for talented people who are passionate about building businesses and developing themselves and our customers\' experience.The Operations Executive will play a pivotal role in optimizing our operational efficiency and driving strategic initiatives to support company growth.ScopeOptimize internal communication between stores and Head Office to support retail efficiencyAssist Head of Retail or Area Manager to oversee the Retail Operations and ensure compliance with Sephora standards (merchandising guidelines, audit requirements, customer service, stock level)Support Retail Operations required reports and presentationTo build trust and strong relationship between store teams and HQ functionsResponsibilities:Internal CommunicationGather, coordinate and collate information from all departments into the \xe2\x80\x9cAction Box\xe2\x80\x9d, a weekly communication tool centralizing information flows from HQ to stores in a clear and concise documentEnsure all departments follow the \xe2\x80\x9cAction Box\xe2\x80\x9d guidelines, information are accurate, clear and complete.Send the Action Box to the stores and to the HQ all users every week on Tuesday and the Action Box reminder every Friday.Follow-up the evolution pro-actively (foster anticipation, react to departments & stores feedback, send regular reminders, and constantly improve the tool\xe2\x80\xa6)Reports & PresentationsProviding business analysis and following up on some key stores\' performances with Head of Retail / Area Manager such as Local vs Tourist Report, Store Productivities and audit results, Involved in preparing and compiling various reports and presentations.Weekly / Monthly reportsMonthly KPIs to update the store IDLove Meter monthly reportMonthly Stock Adjustment AnalysisMonthly Exception Report AnalysisQuarterly store KPIs awardsStore Operation Meeting presentationAny requested Store Business reviewsEvents & RosteringCoordinate any events lunched in stores example: Sephora Events, Brands Events, Marketing Activities, and Training Activities etc with the respective departments.Check the rosters sent by the stores on a monthly basis to make sure that they are align with events & activit\xc3\xa9s requirement.Customer ServiceReceive customers\' feedback and support stores to change as request.Follow up scope of change to make it success.Suppliers Contact & COREFA AdministrationContact to various suppliers to find the best cost ex\xc3\xa9cution.Follow up with supplier to end the work and report update to Head of Retail / Area ManagerOpen new supplier in COREFA, issue PO related to the work done, scan the documents into the COREFA system.Retail Projects ManagementLead cross-functional projects from initiation to completion ensuring timely delivery and alignment with business objectives.Assist Head of Retail/ Area Manager on retail projectsPerformance MonitoringEstablish key performance indicators (KPIs) and develop systems for monitoring and evaluating operational performance, identifying areas for improvementBusiness Data AnalyticsPerforming data-driven analysis to derive key business insights.Evaluate stores\' performance using analytical tools and translate data findings into actionable recommendations for store managers.Drive operational excellence and enhance business processes through data-driven insights, automations and strategic recommendations.Drive Business Optimisation and Process Improvement alongside the Retail Operations Team.OthersAny others ad hoc duties assignedKey competenciesPositive mindsetHard-workingCheerfulHighly organizedAble to handle multitaskingGood analytical skills with an eye for detailStrong interpersonal communicate skillsService oriented with great passion for retail industryMinimum diploma / degreeFluent in spoken and written EnglishMinimum 2 years retail experience (on floor and/or office)Proficient in Excel and Power PointReporting line & key stakeholdersThe Retail Operations Executive will report to Head of Retail
