Job Purpose

Hybrid Work Centres are a critical revenue driver within WorkStation, where the venture strives to create a new culture amidst emerging flex work trends.

Scalability and performance of centre operations is key. We aim to create a frictionless user experience for users, increase organizational agility, powered by our digital aggregator platform.

Responsibilities - Finance

1. Finance

  • Oversee the day-to-day operations of Finance Department
  • Setup and maintain the financial accounting system
  • Provide regular and adhoc analysis to support key strategic decisions and initiatives
  • Liaise with internal and external auditors and tax agents
  • Ensure finance operations and the operations internal controls are conducted in line with financial policies and procedures
  • Management of accounts payable and accounts receivable
  • Prepare and present financial reports to Management, Audit Committee and Board Members
  • Manage accuracy and timeliness of monthly, quarterly and yearly financial reports
  • Manage and approve invoices and payment vouchers
  • Verification and management of monthly payroll
  • Manage cash flow and forecast for the firm
  • Perform admin jobs assigned by Management
  • Adhoc project assignment

2. Operations
  • The role holder is responsible for revenue generation, planning, directing, coordinating, and supervising all administrative and operational functions and activities for WorkStation's Hybrid Work Centres.
  • Reporting directly to the Chief Executive Officer (CEO), he/she will work closely with the CEO to ensure smooth running of all operational/administrative aspects of the centre, including human resource management, financial management, and event management as well as safeguarding the integrity and governance of the venture.
  • To monitor and review the division's performance throughout the year and to accomplish the relevant revenue and growth KPIs, and to identify and develop solutions to address performance inadequacies, where key operations and/or financial performance indicators are not in line with the budget or target set.
  • Ensure seamless integration of centre operations with digital platform to deliver frictionless user experience - both offline and online.
  • Oversee and coordinate legal and/or operational matters, including vendor contracts, leases, and other legal documents and agreements; serve as the principal liaison with external legal counsel
  • Develop and implement operational policies, long and short term planning initiatives in accordance with centre's objectives to drive revenue growth.
  • Establish budgets, forecast, and general operating procedures and monitor cost control procedures. Engage and responsible for monthly financial reporting to CEO.
  • Manage and review all external/ outsourced contractors
  • Engage and collaborate with Sales team, Marketing team and Digital Aggregator division to facilitate and ensure smooth execution of campaigns and events to drive revenue growth.
  • Manage procurement processes and coordinate material and resources allocation
  • Oversee customer support processes and organize them to enhance customer satisfaction
  • Review financial information and adjust operational budgets to promote profitability
  • Revise and/or formulate policies and promote their implementation
3. Human Resources
  • Handle full spectrum of the HR duties which include payroll, recruitment and HR operation.
  • Develop and implement HR infrastructure, processes, and systems across multiple regions, ensuring alignment with business objectives and local regulations.
  • Establish standardized HR policies, procedures, and practices to promote consistency and efficiency.
  • Drive initiatives to enhance employee engagement, satisfaction, and retention.
  • Develop and implement performance management processes, including goal-setting, performance evaluations, and career development plans.
  • Ensure compliance with local employment laws and regulations across the regions of operation.
  • Analyze HR metrics and trends to identify areas for improvement and implement HR programs and initiatives to drive operational excellence.
Qualifications & Work Experience
  • Bachelor's Degree in Accountancy and preferably ACCA.
  • 5 or more years relevant accounting and finance experience.
  • Knowledge of Singapore Financial Reporting Standards and tax rules.
  • Good working knowledge with finance systems, such as Xero or Quickbook.
  • Driven and proactive individual.
  • Possess excellent leadership skills, communication and presentation skills.
  • Good interpersonal skills and communicate with all levels in the organization and stakeholders in both verbal and written English.
  • Strong analytical, strategic-thinking, and problem-solving capabilities.
  • Strong organizational and planning skills, and familiarity with payroll processes would be an advantage.
  • Experience in a startup or in an early development stage business is preferred.
