Job Details We are looking for an Office Executive who is passionate about their work, to join the internal operations team in running the day-to-day office operation of the Kantar Singapore office. Singapore consists of two offices and over three hundred employees. The Office Executive is part of a team that is actively involved in office operations, provides support to key projects and initiatives to improve operational efficiencies and organises events that celebrate our people and our diverse culture. To be successful, the Office Executive must be a team player, meticulous, detailed orientated and is proactive in providing solutions. Print business cards on a regular basis Responsible for outgoing mail/courier and distribution of incoming mail, parcels, and documents. Support the office with business telecommunications, e.g. Cisco IP phones, mobile phone contracts. Order, replenish and maintain a consistent supply of pantry and stationery items. Support in tracking monthly purchases of pantry and office related items. Maintain the office tidiness and cleanliness liaise with janitorial staff on daily cleaning of the general office space, pantry and meeting rooms. Ensure office furniture and equipment are maintained, working effectively and liaise with IT support and contractors on repairs. Liaise with IT services to ensure efficient & effective IT service support and operations. Support in the organising of internal meetings, events, and external marketing events, e.g. year-end party, company retreat, charity activities, and client events. Ensure that the office complies with health & safety regulations and is environmentally sustainable. Support ad-hoc staff engagement activities and internal training sessions Conduct office orientation and induction for new hires. Business travel arrangement- visa applications, hotel and flight bookings. Update department files with new hires and exiting staff information email Ensure that the processes and procedures comply with office security, data protection regulations and other company policies. Raise purchase orders and ensure delivery of goods and services. Other related ad-hoc duties. Key Capabilities: At least two years of experience in office administration with a large corporate organisation. Have experience or in-depth knowledge of the workings of different support functions in an MNC corporate environment, and how they connect and work together. A self-starter, passionate with positive, 'can do' attitude. Meticulous, detailed-orientated with strong organizational and planning skills Ability to meet datelines and adapt to changes in a fast-paced environment Problem solver with the ability to think out of the box and on their feet Highly independent with an ability to prioritize, multitask and work in a team Proficient in the use of productivity tools, e.g. Microsoft Office, Outlook, O365 tools, e.g. OneNote, OneDrive, Planner, etc. Strong command of the English language professional in their written and spoken English Resourceful- can 'fix' almost everything in the office or have enough knowledge to provide a solution.
