Someone urgently needs a meeting room? On it. Last minute asset tracker? No sweat. Need to get a dongle for a last-minute client meeting? You\'re already on your way. That\'s what it means to work on the Operations team at VaynerMedia. The Task At Hand - This role is a hybrid role, spanning operational assistance at all levels of VMAPAC! Some days, the task at hand may vary slightly, and you\'ll need to be flexible, agile, and open to full support on all operational coordination.

  • Maintain a friendly, professional, but not yet stuffy personality at all times. You are the embodiment of VaynerMedia\'s fun atmosphere.
  • Management of visitors & front of house. Including but not limited to client and candidate greetings.
  • Coordinate various types of scheduling for the office from interviews, to client meetings, provide some form of executive assistance for the leadership team as required.
  • Manage internal "fun events" within budget, supporting birthdays, holidays, and all of life\'s fun events worth celebrating
  • Keeping on top of all office supplies, making sure that your team has everything they need! Inventory list will always need to be up to date
  • Manage office budget spend and tracking such as pantry, report to Head of Operations.
  • Communicating key office updates to employees
  • Documentation management: Processing & filing of docusign of contracts
  • Office Management: Office supplies ordering, cleaning services management, assets and inventory tracking and maintenance.
  • Supplier management: Maintain and update supplier contacts and equipment inventory for the office
  • Office Management: Support set up of office spaces across APAC via vendor partnership & various office operations projects.
  • Office Management: Be the point of contact on all office maintenance, repairs and ensure the timeline is up to date.
The ideal candidate has:
  • Great organizational skills and attention to details
  • Ability to multitask like an octopus working a switchboard
  • Proactive approach. We like creative people and creative solutions. No idea is too crazy
  • Experience using Excel, and other Microsoft software along with experience using a Macbook desirable
  • Great organizational skills
