UWCSEA East is seeking a Personal Assistant to the Director of Teaching and Learning (East Campus) to join as soon as possible. We are looking for an exceptional and organised Personal Assistant who can play a key role providing high level support to the Director of Teaching & Learning and the Head of Campus Office.The successful candidate will:Support the Director of Teaching and Learning with organisation, communication and planning at the highest, broadest and most confidential level.Contribute to the smooth running of an operationally and functionally efficient Head of Campus Office.Interact with a wide range of different stakeholders, including students, colleagues, external providers, visitors and guests and have the ability to communicate across many different social and cultural dimensions with sensitivity.Join a positive and collaborative team to provide effective administrative support for a range of colleagues.The role demands a high degree of proactive planning, professional organisation and strong communication skills. It also demands high levels of customer service and problem identification and solving as well as flexibility and the ability to think on your feet. The portal does not support resume attachments.Main ResponsibilitiesThe key responsibilities of the Personal Assistant to the Director of Teaching and Learning can be summarised as follows:

  • Providing high-level administrative and secretarial support, including managing calendars, correspondence, and confidential information.
  • Coordinating and managing projects, events, and professional development activities related to the Director of Teaching and Learning.
  • Maintaining accurate records, databases, and budgets related to the Director of Teaching and Learning\'s areas of responsibility.
  • Acting as a liaison and key point of contact for various stakeholders, including staff, students, parents, and external parties, particularly in relation to the Head of Campus Office.
  • Overseeing the campus-wide implementation and completion of the ISA.
  • Supporting the Director of Teaching and Learning and Head of Curriculum in various tasks and projects, including college systems upkeep and secretarial duties.
  • Assist with any other duties, tasks or jobs with similar levels of responsibility and complexity to the assigned job grade as may be reasonably requested by the line manager and/or the College
Person Specifications
  • Bachelor\xe2\x80\x99s degree or equivalent
  • 5+ years experience supporting a senior-level leader(s)
  • An efficient and effective administrator. 5+ years experience supporting a senior-level leader.
  • Experience within the education sector or supporting a senior leader in an operational role is preferred.
  • Excellent English (written and spoken), organisational skills with a high degree of social organisation and the ability to maintain confidentiality at all times.
  • IT savvy and highly proficient in Google Suite - data management skills are also an advantage.
  • Able to work cohesively in a team-based environment as well as independently and demonstrate initiative
  • Highly organised with a strong attention to detail with the ability to manage multiple ongoing projects, proactively and resourcefully with demonstrated experience in meeting short deadlines.
  • Outstanding interpersonal skills: a good listener with a collaborative style
  • Honesty and integrity, with the ability to maintain confidentiality
  • Ability to develop a sense of community and generate trust with a range of constituent groups
  • Reflective, culturally sensitive with a strong growth mindset and the ability to think resourcefully
  • Highly adept communication skills that can support collaboration and communication across multiple functions within the organisation.
