Responsibilities
Matter Management
\xc2\xb7 Client and matter clearance and opening
\xc2\xb7 Liaising with clients on matter management processes including AML processes
\xc2\xb7 Maintaining and drafting of Engagement letters
\xc2\xb7 MTM File maintenance
\xc2\xb7 Managing associate\'s checklist and matter file list
\xc2\xb7 Maintaning and updating of Matter document folder in IManage
\xc2\xb7 Matter project administration (from the opening to the closing of matter including setup of matter SharePoint site, to supporting post-closing activities such as bibling, archiving)
\xc2\xb7 Client & matter-team meetings
Commercials/Billing/Collections
\xc2\xb7 Monitoring and recording project scope and adjustments, estimates, caps, billing agreements
\xc2\xb7 Matter balance report and client weekly fee updates
\xc2\xb7 Working Capital management - facilitate all WC activities:
\xc2\xa7 Attending and organising monthly meeting between relevant partner and working capital team to review WIP/Debt positions.
\xc2\xa7 prepare for monthly meetings by circulating drafts to fee earners for review, with final review by lead associate
\xc2\xa7 If meetings need to move due to client commitments, responsible for rearranging meeting to ensure it occurs first two weeks of every month
\xc2\xb7 Support Billing and collection tasks including raising timely and accurate GMPS bills, invoices, tax computations and write-offs for billing team\'s review. Liaise with the billing team and dispatch invoices to clients safely
Business Development Support
\xc2\xb7 Support Partners and the BD team with business development activity:
\xc2\xa7 amend business development and client focus materials including CVs, pitches, presentations, client briefings etc.
\xc2\xa7 monitoring of business development collateral such as CVs and MIS to ensure it is up to date
\xc2\xa7 organise, facilitate and provide host support for internal events and client events where required, including virtual events.
\xc2\xa7 facilitating updates to clients
Matter Team Support
\xc2\xb7 Document production and DPU liaison where necessary, includes:
\xc2\xa7 transcribing, editing and amending legal and other documents.
\xc2\xa7 convert, compare, copy type and proofread the same as necessary, ensuring that documents comply with house style
\xc2\xb7 Signing pages where applicable
\xc2\xb7 e-Filing where applicable
Best Delivery/Legal Tech/KETL Opportunities/Projects
\xc2\xb7 Understand and support the use of legal technology, including facilitation and management of solutions applied to a matter where necessary. Includes knowledge of the Best Delivery checklist.
\xc2\xb7 Best delivery tools superuser
\xc2\xb7 Facilitate end of matter review to identify follow on opportunities such as deal reviews, KETL opportunities etc
Complex Travel Arrangements
\xc2\xb7 Flight and hotel bookings, changes, insurance, visas and other travel related services which a team assistant/concierge is unable to manage effectively
\xc2\xb7 Planning of itinerary travel route and liaising with clients for meetings
\xc2\xb7 Reservation of hotel meeting venues, restaurants and work desks in other local offices
Team Lead Responsibilities
\xc2\xb7 Manage peaks and troughs in the practice group\'s Practice Support Coordinators\' (PSC) workload, allocating work appropriately and ensuring that the individual PSC workload is balanced
\xc2\xb7 Ensure sufficient PSC coverage at all times within the practice group
\xc2\xb7 Co-responsible for the allocation of PSC to fee earners in practice group
Requirements
\xc2\xb7 Minimum of 5- 8 years of relevant experience (preferably in Corporate and Financial Markets)
\xc2\xb7 Good command of spoken and written English
\xc2\xb7 Proficiency in MS Word, Excel and PowerPoint
\xc2\xb7 Able to work independently, take initiative, polite and with positive working attitude
\xc2\xb7 Strong sense of responsibility and excellent organizational skills
\xc2\xb7 Candidates with team management experience will be considered for Team Lead role
Hours: Monday-Friday (9.00am - 5.30pm)
