The key purpose of this role is to provide reception services / support, office administration services and secretarial support to ensure the smooth and efficient operation of GHO Singapore and support the Global Net Ops team based at GHO Singapore.How will you contribute to the success of DHL?Reception & Office Administration

  • Greet and assist visitors o Monitor stocks of stationery and pantry supplies
  • Co-ordinate the cleaning / pantry and security staff
  • Handle deliveries, mail and incoming phone calls
  • Prepare and handover outbound shipments
  • Maintain email distribution lists / extension lists / seating plan o Liaise with Procurement / Finance / Vendors
  • Liaise with Suppliers on information requests and quotes
  • Raise Purchase Orders and process GRNs and invoices
  • Keep track of and renew vendor contracts on a yearly basis
  • Arrange for scheduled cleaning and maintenance activities
  • Arrange ad hoc maintenance / repairs
  • Liaise with building management on facility inquiries / requests
  • Take part in fire drill briefing / maintain fire evacuation name list
  • Assist in organizing and / or co-ordination of internal events / activities
Functional Support
  • Provide admin support to Net Ops VPs i.e. flight and hotel quotes and bookings, expense claims
  • Assist in onboarding / offboarding of employees, contractors ie: creation of systems / email access, provisioning IT equipment, etc
  • Assist visitors with local hotel bookings, travel, other arrangements and queries, as maybe requested
  • Coordinate with other departments\xe2\x80\x99 coordinators to ensure that administrative office information and procedures are updated and complied with efficiently
  • Prepare and submit accrual list for year end closing
Do you have what it takes?
  • Minimum 5 years of office admin and / or secretarial experience with senior management
  • Excellent Computer literacy, MS Office skills (Word, Excel, PowerPoint, etc.)
  • Good networking skills and personal judgement
  • Fluent in English - both written and spoken (Mandarin spoken will be an added advantage)
  • Time management skills: able to prioritise and organise well
  • Min A level and above
