We are building competencies and strength in the admin team to support our overall team objective, which is to deliver a fit for purpose, highly functional and motivating workplace for our 700+ Maersk colleagues.
The role reports into the Admin Manager. The person has a keen focus to ensure and guide the delivery of the front desk duties, as well as to assist the Admin Manager to deliver the full suite of facility and operational admin support for the businesses as required. There is a requirement to provide cover for work in the team to ensure uninterrupted support to the business.

Key Responsibilities
Operations Support


  • Procurement of office and pantry supplies

  • Business/Staff events logistics support and coordination

  • Review performance and render support to outsourced contractors

  • Handle vendors invoices for cost allocations

  • Update office layout plans

  • Effective cover for front desk duties

Facilities Maintenance

  • Monitor the delivery of regular workplace maintenances & inspections

  • Report and monitor to rectify all workplace faults & defects

  • Conduct regular performance reviews of service providers

Workplace Health, Safety and Security, Environment Management (HSSE)

  • Ensure sufficient safety supplies

  • Active and regular checks for workplace hazards and escalate timely for rectifications

  • Ensure indoor air quality is compliant to health standard

  • Support the execution of HSSE initiatives and events

Management Support and General Administration

  • Keep proper record of legal contracts and vendors information

  • Documentation of processes and policies for structure and controls

  • Assist in projects as required

  • Assist in workplace data collection for resource optimisation assessment

  • Recommend processes enhancements as relevant

  • Own the team challenges, build strong teamwork

We are looking for
Education and experience

  • Relevant diploma or degree in Facilities Management, Business Administration

  • Minimum 3 years of hands-on, practical experiences at similar work environment, with exposure to the full suite of workplace administrations or facility management, will be an advantage

  • Project Management skills is an advantage

  • Competent in MS Office applications
