JOB DESCRIPTION Our client is actively searching for an Assistant Manager/ Senior Assistant Manager, HR Shared Services, to join their team!

We are seeking a result-driven and highly motivated Assistant Manager/ Senior Assistant Manager to join our HR Shared Service team. As a successful candidate, you will work closely with the Senior Manager to stabilize the HR Shared Services operations, streamline processes and to drive continuous improvements. You will also be instrumental in the service delivery of the day-to-day HR operational matters and to provide related HR support in an accurate and efficient manner which will establish a trusting relationship with our stakeholders at varying levels within the organization. In addition, you will work closely with other team members within the Human Resource Division that places importance on our ability to support each other.
The responsibilities of this role are:

  • Ensure HR Service Delivery meets aligned KPIs and is delivered in line with applicable policies and legislation requirement.
  • Serve as the main point of contact for HR inquiries/ requests for our stakeholders regarding benefits, policies, employee data, HR processes and HR systems
  • Advise internal stakeholders on HR Operations related processes
  • Administer key HR processes including but not limited to onboarding, employees\' contract renewal, benefits, and termination.
  • Support the execution of HR processes and transactions according to the documented procedures to fulfill internal and external service level standards and provide a seamless and accurate delivery of HR services.
  • Support the development of the standard procedures that ensure execution of HR Operations related processes according to requirements.
  • Assist with the documentation of internal HR processes and controls as applicable.
  • Support the maintenance of the latest HR policies, internal workflows, processes, and HR information on SharePoint.
  • Support internal and external audit preparations, where applicable
  • Accountable for data integrity in systems and ensure appropriate and relevant audit controls are in place.
  • Contribute by actively identifying improvement areas for HR processes.
  • Partner with HRBP/TA team members (as appropriate) for the executions of HR related task(s)/assignment(s)/project(s).
  • Effectively advise internal stakeholders on HR Operations related processes.
  • Serve as the main point of contact for HR inquiries/requests for our stakeholders regarding benefits,policies, employee data, HR processes and HR systems.
  • Perform standard HR Master Data changes in line with university\'s policies and relevant legislation requirements.
  • File employee-related documentation and maintain employee files and records.
  • Support ad-hoc HR activities and initiatives, where applicable
  • Any other duties as assigned.
The ideal candidate will need to have the following qualities and experience:
  • Degree in any discipline with at least 2 to 5 years of HR work experience in Shared Services or as a HR Generalist.
  • Good knowledge of Singapore employment laws, regulations, market practices and general business environment
  • Familiarity with payroll process in the integration into shared services will be an advantage
  • Good stakeholder management skills.
  • Proactive, meticulous, and able to work with minimal supervision in a fast-paced environment.
  • Team player with excellent written and verbal communication.
  • Ideally well versed in using HRIS system such as SAP or SuccessFactors will be an added advantage
  • Strong stakeholder management skills and ability to communicate (written and verbal) with all levels of the organization
  • Well-connected and resourceful in drawing valuable information and/or insights from stakeholders
  • Ability to navigate in a dynamic and fluid environment where quality and speed are of the essence
  • Ability to work as part of the team and/or on own initiative
  • Experience with end-to-end processes design and execution.
  • Strong business acumen.
  • Champion in operational excellence.
  • IT savvy and proficient in systems such as SAP and SuccessFactors and software such as Microsoft Office (Words,
Excel, PPT etc.). * Ability to perform with a high degree of accuracy and confidential data.
  • Critical analytical thinking skills, detail-oriented, structured, and consistent follow-through.
  • Anticipates and/or escalates problems (as appropriate).
