Executive Assistant to Consultants For an international head hunting firm located in Raffles Place.
Serves as client liaison assisting consultant in maintenance of daily search activities by providing ongoing project management assistance.
Arranges all scheduling, i.e. candidate interviews, phone calls, face-to-face meetings, video conferences, client meetings, update calls and reference calls as appropriate.
Manages executive and candidate travel schedule, providing travel itineraries and all travel arrangements.
Regularly tracks consultant search activity and all client-related marketing meetings to ensure progress.
Prioritizes and handles complex, confidential matters assuring discreet handling of all corporate business. Takes initiative in executive's absence to minimize effect of his/her absence.
Screens individual consultant's telephone lines, as well as answering "overflow" calls.
Builds positive relationships and interfaces with high-level executive candidates (Fortune 500 level client executives & candidates) involved in highly confidential projects.
Works proactively with Research team in the data entry and basic research processes.
Works proactively with data quality team to ensure that systems are up-to-date and accurate including but not limited to all actions such as notes, emails and appointments being recorded accurately in database, together with the capture of any relevant documents.
Ensures that all word processing including general correspondence, reports, proposals, presentations and miscellaneous documents are of high quality and produced on time.
Processes expense claims for consultants and candidates.
Assists accounting department with invoicing to clients.
Assists other Executive Assistants with work overflow as capacity allows.
Undertakes ad hoc projects as requested. Assumes ownership or shared responsibility for planning, organizing and executing the projects.
Requirements:
Minimum of 8 years of EA experience. A legal, HR or management consulting background is preferred, but experience in other industries would also be valid
Strong oral and written communication skills
Strong MS office skills

Hours of work: Monday to Friday (9.00 am to 6.00 pm) Hybrid: 2 days wfh
