Description



Main responsibilities are to provide excellent administrative support to the admin team. Apart from data management and filing, the successful incumbent must also be able to manage meeting schedules, travel arrangement and preparation of management reports. Those interested to pursue a career in Research Administration and have the ability and aptitude to work in a fast paced environment are welcome to apply for the post.

Below are some of the day to day responsibilities:

  • Calendar management including face-to-face meetings, overseas teleconference, regular meetings with internal / external parties
  • Preparation of daily calendar schedule sheet, send meeting reminders / confirmation to other parties prior to actual meeting
  • Organize meeting schedules, research clinic / lab tours for overseas visitors / collaborators
  • Travel / accommodation arrangement, sponsorship negotiation / funding application for conference trips, honorarium declaration / reimbursements submission and
  • monitoring of claims / invoices
  • Prepare reports for team meetings and senior management
  • Print agendas/ materials for meetings
  • Meeting and greeting visitors at all levels of seniority
  • Assist in ad-hoc events\' coordination, meeting arrangements/ administrative duties when required
  • Assist in arranging for visitors\' accommodation and transportation when necessary
  • Put up any claims / reimbursement
  • Devising and maintaining office systems, including data management and filing
  • Screening of phone calls, enquiries and requests, and handling them when appropriate
  • Organize incoming mail and dispatch mail internally and externally
  • Drafting of email/ letter correspondences/ referral letters
  • Act as a point of contact and liaison
  • Filling in template related to research and clinical as and when required.
  • Undertake other tasks as requested
Job Requirements:
  • Min Degree holder
  • No exp needed, full training provided
  • Excellent communication skills is a must
  • Meticulous and able to handle numbers is a must
  • Proficient in more than one language
  • Proficient in Microsoft Office
  • Location : 4 Different locations to choose
