Job Description


Objectives of this position: The objectives of this position is to provide all round support to the CFO in day to day secretarial support ensuring daily business operation runs smoothly, lead the procurement function in all end-to-end process for indirect categories, and other projects as assigned by the CFO.

What will you do? The Manager, CFO Office & Executive Assistant is mainly responsible for the following areas:

  • Support CFO on daily basis in the provision of quality business operations in the following areas:
o Translate and coordinate product information and relevant communication o Process and maintain data within different operation systems for and on behalf of CFO as required o Work with Travel team for business travel as required for CFO o Monitor and make sure the above activities are performed according to company guidelines o Monitor effectiveness of current procedure of the department, streamline to improve efficiency and productivity to meet actual business needs o Manage CFO\xe2\x80\x99s calendar and set up meetings o Facilitate communication with other departments o Maintain sensitive and confidential written and oral information o Organise corporate events on behalf of CFO as required
  • Lead the Procurement function which oversees the end-to-end procurement process within indirect categories with relevant suppliers. This includes the following:
o Ensuring all the tendering, sourcing, and negotiating procurement activities is properly executed by the function. o Identify cost-effective solutions and continually monitor any cost related aspects to ensure financial KPI\'s are met. o Foster and maintain positive, long-term relationships with both vendors and relevant internal stakeholders. o Devise long-term strategies which are aligned with the Lidl\'s goals. o Continually strive for best value and quality enhancement through data analytics, cost examination and process review. Report on the indirect categories performance and identify any issues, opportunities and resolutions going forward. o Ensure all indirect suppliers are aligned with contractual standards by carrying out regular reviews and audits. o Ensure all administrative processes are accurately maintained with strong data integrity
  • In addition to the above listed tasks, the holder of the position is obliged to implement separate projects upon request by CFO which result from operational requirements. Or business needs.

What will you need?
  • University degree holder
  • Minimum 8 years solid and relevant experience in buying office or sizable MNC in trading industry; experience in procurement and delivering financial savings preferred
  • Sound knowledge in data management and business operation systems such as SAP
  • Good command of spoken and written English, Chinese and German
  • Mature, strong organisation skills and analytical mindset
  • Excellent communication skills and able to interact with all levels of management
  • Expertise in contract negotiation and supplier relationship management
  • Strong analytical skills and an experienced user of Microsoft Office suite, especially Excel
  • Able to work independently and deal well with ambiguity

Development opportunities The position gives the opportunity to develop personal competencies as well as professional knowledge in Indirect Procurement. The challenge will be to ensure the role as assistant to the CFO and additionally the operational responsibility for the establishment of Indirect Procurement with business impact.
