Job Description

ONLY SINGAPOREANS NEED APPLYThis role is to provide administrative support for the office. There is a wide range of tasks from supporting operational activities to data compilation.We are looking for someone who is able to work independently and follow Standards of Procedure (SOP). The job scope is as below.1. Looking after the vehicle fleet

  • Needs to follow SOP strictly and ensure others in the chain of command does as well
  • Ensure each vehicle's road tax can be renewed successfully by meeting deadlines for inspection,insurance, VPC etc in order
  • Updating vehicle profile schedule, obtain quotations from insurers
  • Doing vehicle handover with driver, briefing driver on SOPs and policies
  • Maintaining service and repair log for each vehicle
  • Handle process of scrapping of vehicle and purchase of new vehicle
  • Ensure GPS trackers on vehicles are working
  • Help driver to fill out accident report before going to accident report center.
  • Documentation related to vehicle filed properly
2. Human Resource
  • Setup tablet for new supervisor.
  • Help with the troubleshooting of tablet problems by co-ordinating with vendor
3. Maintaining various registers
  • Maintaining registers for key, laptops/PCs, tablet, walkie talkie, various meters etc
  • Following SOP and policies
  • Co-ordinating renewal of lifting certificates, ensuring site has relevant certs for their work.
  • Updating schedule of machinery and equipment
4. Other Admin/ reception Functions
  • Mailing of cheque payments to suppliers; stuff in envelope, check signatures and cheque dates etc
  • Answering and directing calls with PABX system
  • Greeting and directing visitors to the office inlcuding serving drinks if necessary
  • Directing the incoming faxes to relevant persons
  • Organising social events and campaigns for office
  • Print cash card transaction reports for drivers
  • Set up new computers
  • Making signage
  • Support Operations Team with their administrative requests such as pass applications.
  • Scanning documents and archiving.
  • Help cover colleagues on leave
  • Other Ad hoc admin task
Qualifications & Required skills
  • Candidate must possess at least Higher secondary/Pre-U/A level/College, Professional Certificate/NiTEC, Diploma/Advanced/Higher/Graduate Diploma in Business Studies/Administration/Management or equivalent.
  • At least 2 Year(s) of working experience in the related field is required for this position.
  • Required Skill(s): Microsoft Office, presentation, problem solving, analytical, data analysis. Candidates with strong IT Tech skills will be favoured.
  • Preferably Junior Executive specialized in Clerical/Administrative Support or equivalent.
