Job Description


Reporting to Manager, you will provide secretarial and administrative support to RHSO Operations Division, and support the implementation of volunteer programmes and collaborations with community care.

Job Responsibilities*

1. Provide secretarial and administrative support to Division

  • Maintain team schedule and calendars for key personnel
  • Organise internal and external meetings and events, and their relevant logistics including booking dates and venues, ordering refreshments, supporting events onsite etc.
  • Manage the timely submission of claims, purchase requisition, IT provision requests and HR requests etc.
  • Manage office supplies requisition and requests by Divisional staff.
  • Organise and maintain databases e.g. team training records, volunteer and partners lists etc., shared drives and contract management system
  • Support and coordinate the onboarding of new staff including timely requisition of access cards, IT equipment and administrative orientation etc.
  • Support and coordinate the offboarding of staff including return of IT equipment and access cards etc.
  • Take meeting minutes
2. Support implementation of collaborations with community care and volunteer programmes
  • Organise internal and external meetings and events including volunteer training, and their relevant logistics
  • Support the preparation of contracts, marketing, meeting and event materials etc.
  • Coordinate the requisition of marketing materials
  • Support operations and data collection
  • Organise and maintain databases
  • Manage Community Partners Space
3. Any other duties, projects or assignments by Reporting Officer and/or HOD

Requirements*

Qualification Required and Area of Discipline

Diploma in any discipline, preferably healthcare or business management related

Required Competencies and Capabilities (Skills, Experiences and Professional Licences)

Skills:
  • Meticulous and attention to detail
  • Adept in people skills to foster collaboration
  • Able to multi-task and work independently
  • IT savvy and basic Microsoft Office skills; strong Excel skills is an advantage
Experience:
  • At least 2 years of relevant working experience
  • Experience in events will be advantageous
  • Familiarity with Singapore healthcare or social care will be advantageous
  • Willing to work outside of office hours e.g. weekends
  • Professional Licenses not required
