Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; plans, coordinates and ensures optimum use of the CEO's schedule; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings; completing expense reports etc
Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Composes and prepares correspondence that is sometimes confidential in nature and determines appropriate course of action, referral, or response.
Prepare briefings, talking points, presentations, and proposals for internal and external meetings
Edits and completes first drafts for written communications to external stakeholders.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

2. Special Project Support
Manages special projects for the CEO, researches, and prepares briefing materials for key events and presentations
Supports and coordinates projects internally and with other organisations globally
Participates in meetings, task forces, and workgroups both internally and externally.
Builds relationships crucial to the success of the organization.
3. Senior Management Liaison
Demonstrates credibility, trust, and support with senior management staff.
Participates as an adjunct member of the Management Team, schedules, prepares materials and notes, and ensures follow-up
Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings.

Requirements
University degree required
Strong work tenure: ideally five to 10 years of experience in supporting C-Level
Ideally experience and interest in the global innovation ecosystem, in internal and external communications, and in partnership development.
Proficient in English (German a plus), Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and use of relevant Social Media web platforms.
